ActiveWords Will Save You Time

Applications, services, tools, plug-ins, add-ons, bookmarklets — there’s an endless list of things we look to in an effort to be more efficient. Here at WWD, we write about all of them and how they can be of benefit to us. We discuss how they look, how they work, how much they cost, etc. But in the end, we’re looking for productivity. We either want to get more done, or take less time doing those things.

I know I’m going to sound like a snake oil salesman but I’ve found an answer — a tool for Windows users that when used, really used, will save you time and make you more productive.

ActiveWords is combination program launcher, text replacer, macro recorder, wizard, wonder and an incredible time saver.

At its core, ActiveWords lets you assign actions to trigger words that you type. These words perform a task or series of tasks that you’ve designated, from basic text substitution to complex macros or scripts.

A frequent complaint I hear about many of our favorite web applications is the number of clicks that it takes to accomplish any task. Clicks represent time and we’re busy folks.

We seem to have a different attitude to our desktop environments, though. We’ll click around mindlessly and repetitively to find and launch programs and documents. We’ll type the same text endlessly, keystroke after keystroke on our own PCs. We’ll do the same actions every day and never complain to ourselves that we haven’t removed those barriers — those extra clicks. That’s what ActiveWords does.

Think for a minute about the repetitive tasks that you do everyday, perhaps multiple times per day. A basic tenet of productivity is to automate repetitive actions or tasks and this is one way that ActiveWords can really help you. Adding a signature to your email or forum post, responding to an inquiry with a canned response, typing your address or phone number — all of these actions can be automated and triggered with a few keystrokes. These are just basic examples but the possibilities are unlimited — it’s staggering how many trigger words you’ll set up once you get started as you begin to examine your daily process.

ActiveWords also works tremendously well as a program or web launcher. I’ve got trigger words set up for web sites I visit regularly and other common applications, and I can pull them all up with just a few keystrokes. For example, no matter what else I’m working on or in, if I type “new task” followed by two spaces my Toodledo web app opens — poised and ready for me to add that new task.

The integration with Toodledo goes even further though; it’s one of many applications with an add-on pack available that allows easy access to common functions. Additional add-ins are available for Outlook, Clear Context, Mind Manager and others. These help you get up and running quickly as they add pre-defined options to your ActiveWords setup to hook in to these programs.

There is actually a pretty extensive library of add-ins available to control everything from Windows functions to adding Google hooks. You can even add in-place arithmetic which is insanely useful once you get used to using it.

There is also a very powerful scripting language in ActiveWords that I’ve just recently begun to experiment with. Because it works at the OS level, it can interact with any interface — basically if you can access it via keyboard you can program it via an ActiveWord. ActiveWords works everywhere unlike, say, the macro or auto-complete functionality in a program like Microsoft Word.

There isn’t much of a learning curve to using ActiveWords but it does take some thought about the types of things to automate, how you want to name your trigger words, and how to actually trigger them.

The interface to ActiveWords is sparse, which is good. There is a menu bar available at the top of your screen and a keystroke triggered “Action Pad” can pop up to accept your ActiveWords. The interface appears a little dated, but honestly after a day or so you’ll likely end up turning off or disabling the visible portions.

One of the coolest things about ActiveWords is that you don’t have to use the Action Pad or anything else to make it work, you can type your ActiveWords anywhere. I’ve got it configured so I just start typing my trigger word followed by two spaces and it does the rest, no matter where I am.

There are some instances where typing my trigger words does interfere with keyboard shortcuts (Gmail is a frequent culprit) so I move to the search box and type my trigger words there. ActiveWords automatically removes the trigger text after processing the request.

I do wish there was some sort of auto-complete functionality available for the active word triggers that I’ve forgotten. I find the lesser-used ones do get forgotten and while there is a search functionality, I liked how in a tool like Launchy it tries to guess the action based on my past usage.

ActiveWords does a decent job of recommending frequently used programs and documents and suggesting that I create a trigger word for them — it only takes a second to add items to the directory with the wizard-like prompts.

ActiveWords is currently for Windows PCs only. A very generous 60-day trial is available, which is plenty of time for you to decide if it’s working for you. My hunch is that when the trial ends you’ll stare blankly at your screen wondering why your triggers aren’t working, they really do become such an integral part of your workflow. And because it works so seamlessly you really don’t even think about the fact that you are using it — it’s just there.

Registration after the 60 days is $49.95 but that covers all the PCs that you use, so you can take advantage of the benefits if you jump between multiple machines like I do. It’s easy to import and export your directories but I’d love to see the ability to make sync easier.

I tend to be skeptical when I read reviews like this one. Could it really be that good? Can it really save me that much time? In this instance, the answer is a resounding yes.

Never Forget an Attachment with Outlook Attachment Reminder

If you use Outlook and sometimes get replies to your emails saying, “I think you might have forgotten the attachment,” you should check out Outlook Attachment Reminder, a simple VBScript macro. When you click the Send button it checks the body of the email for “attach” in the text (so it will also catch “attachment”, “attached”, etc). If “attach” is present and there is no attachment to the email a warning message pops up.

This is a really simple yet effective macro. It’s something that I had actually been meaning to put together myself for a while but never got around to.

If you use Thunderbird, you can try a similar add-on: Attachment Reminder. Google has a similar feature in Gmail Labs — Forgotten Attachment Detector — but it doesn’t work for me.

Automate Routine Firefox Tasks With DejaClick

It should be obvious by now that here at Web Worker Daily we are big fans of the Firefox web browser. We’ve covered the recent launch of Version 3 in detail and have published a good number of round-ups highlighting useful add-ons.

Everyone has their own reasons for choosing Firefox but for me it’s mostly a matter of efficiency. I feel that the add-ons that are available let me work smarter and get more done in less time. That’s why I was particularly intrigued when I heard about the DejaClick extension which promotes itself as a web recorder and Super Bookmark utility.

In a nutshell, DejaClick allows you to record any series of steps or actions you take in your Firefox browser and then play them back with a single click. Setting up simple scripts is remarkably easy. In fact, if you have ever used any sort of macro recorder such as in Word you will feel right at home with the interface.

Click the begin button, perform your actions, click the stop button. Save and replay. I was creating simple login and search scripts in just a few minutes and without any difficulty. I particularly enjoyed watching the replays run through the steps I had just recorded. This is so cool, I thought – the possibilities are endless.

Then I just kind of got stuck. What was I going to use this for? After a couple of weeks, I still haven’t come up with much.

In reality, as much “fun” as this sort of thing can be, DejaClick is really a pretty feature rich site monitoring and testing tool. You can create scripts that simulate users on your web site and use them during your development to test new user registrations, form completions, complex searches and such with just a click. Used in conjunction with the AlertSite Service, scripts can be uploaded and used to simulate activity to provide performance and availability metrics on your production sites.

While DejaClick hasn’t been the productivity booster for me I was hoping it would be, I think that is partially a fault of my own lack of imagination as to how it can be best implemented. However, the identity crisis of whether it is a development tool or an end user product carries over to the web site where seemingly very few resources are provided for non-developers. I like the product and see great potential but would really like to see a more interactive user group focusing on real word end-user solutions and implementations to help prime the pump and provide inspiration.

Paid Video M&A: Zipidee Buys TotalVid

Fresh from the womb, Zipidee, a marketplace for educational videos that launched last month, has acquired competitor TotalVid for an undisclosed amount. The purchase doubles Zipidee’s library to more than 10,000 titles.

Whereas many web products and services are increasingly offered for free and ad-supported, San Francisco-based Zipidee is asking customers to pay for what it calls “digi-goods” — primarily audio and video files. The site’s model consists of acquiring the exclusive rights to sell a file online and then deducting 20 percent of any transactions as a processing fee. Three-year-old TotalVid employed another alternative business model: a $9.95 per month subscription fee.

Zipidee CEO Henry Wong said in an interview on Monday that he sees a need for “mid-tail” online content, for example instructional videos, that’s high quality and unobstructed by advertising. He explained of the TotalVid deal, “We were building the company from scratch and this fell in our laps.”

TotalVid and sister site VideoWaza were previously part of Landmark Communications, owner of the Weather Channel and other media outlets. Wong declined to state details of the transaction or elaborate on Zipidee’s funding situation, but he said the company is raising a Series B round now. Zipidee had raised a Series A round of venture funding earlier this year from Individuals’ Venture Fund, Novus Ventures, and Khalda Development. We wish Zipidee were more forthcoming about its numbers and less prone to coining unfortunate terms like “digi-goods.”

The three sites will be run from Zipidee’s headquarters in San Francisco. Another competitor would be Cruxy (our coverage).

Get ready for another Tablet PC meetup at CES

The CES is rushing up on us fast as early January will be here before you know it. Kevin and I will be attending the giant show again this year and I am so happy to see Lora Heiny is planning another Tablet PC meetup this year! I have attended the last two and let me tell you they are a blast and always have some great folks in attendance. I am talking folks like Robert Scoble and Chris Pirillo, two of my favorite people. Lora is in the process of organizing the event and it asking for your input to help determine where it will be this year and exactly which day of the CES. I hope it’s at Cheeseburger Las Vegas again this year as I find that venue to be comfortable and friendly which is important for an event like this. If you are an ISV or OEM who would like to demonstrate your wares to the crowd be sure and let Lora know, it is very welcome. See you there!

CellPhone, Fashion Accessory

Is cell phone a fashion accessory? We think it is, so does Nokia and Samsung. The Feature disagrees, and writes, “Even worse, the simple act of needing to switch between phones, most likely by transferring the SIM card, may be seen as too much of a pain to be worth it. So between swapping SIM cards and choosing which phone for what occasion, having multiple phones adds a mental transaction cost that many won’t want to pay.”
