We decided to outsource out invoice collection process to a third party. This isn't a debt collection as the money still gets paid directly to us. They handle the chasing up process, letters, phones calls etc(and if needed instructing lawyers although it hasn't ever got to this). The beauty of this is that our relationship with our clients remains separate to the invoice chasing.

One such service is www.cashflowprotector.co.uk

[...] Free enterprise will always prevail. The insurance companies that are out there now, aren’t going to go away once we have this new health care option. The biggest impact I have found that debt collectors foresee with this new plan is how slow they may be paid or how slowly their clients may be paid. Start working with your medical clients and help them work with their patients so that they can serve as an advocate and show empathy for each individual situation and help them to work on a realistic payment plan – your job as the collector – enforce that payment plan. The longer you wait, the worse off you are – catch accounts that need help early and you will be ahead of the game. [...]

yeah . . . that credit card fee advice was off the mark (although there are certainly other, legitimate, ways to create the same effect).

That said, in general this is exactly right; do business like a businessperson (tight contracts with experience-driven clauses, for example) and you GREATLY reduce the collections issues.

Donna,

In my years in the business I have found the same thing when I am dealing with a business debt or A/P office, many times the paperwork is lost in the shuffle, sometimes they just want the invoice to be lost in the shuffle to delay payment!

Very good practices, many accounts receivable clerks and credit managers could learn from you.

In 20+ years in business, I have been burned only once on an invoice. I am always clear about payment terms up front, and I follow up as soon as a payment is overdue.

Also, I make friends with the people in Accounts Payable. When a payment is late, is not because my client doesn't want to pay; it's always because of some paperwork snafu with AP. So, I develop relationships with the AP people so that they go to bat for me when an invoice disappears in the system.
