			<content:encoded><![CDATA[<p><a href="http://gigaom2.files.wordpress.com/2011/06/webappsheader_web.jpg"><img  title="webAppsHeader_web" src="http://gigaom2.files.wordpress.com/2011/06/webappsheader_web.jpg?w=300&#038;h=171" alt="" width="300" height="171" class="alignright size-medium wp-image-368580" /></a>At a press event in New York on Tuesday, Microsoft CEO Steve Ballmer officially launched <a href="http://www.office365.com/">Office 365</a>, the Redmond software giant&#8217;s suite of online collaboration and office tools. It includes Office Web Apps and hosted versions of SharePoint Online, Exchange Online and Lync Online. It also has a feature set that aims to take on <a href="http://www.google.com/apps/intl/en/business/index.html">Google Apps for Business</a>. But with a product that costs more than Google&#8217;s offering and that&#8217;s coming much later to market, will Office 365 be a success?</p>
<p>Office 365 is not Microsoft&#8217;s first attempt at offering this kind of service; it has previously offered hosted Exchange and SharePoint services with <a href="http://www.microsoft.com/online/business-productivity.aspx">BPOS</a> (Business Productivity Online Services). But by including Office Web Apps in Office 365, the company now has a much more rounded product that enables users to do their work anywhere, on any device, and to easily collaborate with others.</p>
<h2>Office 365 vs. Google Apps for Business</h2>
<p><a href="http://gigaom2.files.wordpress.com/2011/06/365_10_web.jpg"><img  title="365_10_web" src="http://gigaom2.files.wordpress.com/2011/06/365_10_web.jpg?w=300&#038;h=224" alt="" width="300" height="224" class="alignleft size-medium wp-image-368665" /></a>One of Office 365&#8242;s main advantages over Google Apps is the huge existing installed user base of Office products. Office is entrenched in the majority of businesses worldwide, and Office 365 offers an easy pathway for those users to migrate to cloud collaboration while using familiar tools. Office 365 also has a greater range of features than Google Apps, incorporating office productivity (Office and Office Web Apps), collaboration and intranet tools (SharePoint Online), email and calendars (Exchange Online) and instant messaging and web conferencing (Lync Online).</p>
<p>Unlike some previous Microsoft releases, Office 365 works cross-platform, so it can be accessed equally via Mac and PC and on mobile devices &#8212; although there are<a href="http://www.infoworld.com/d/mobile-technology/dont-be-fooled-office-365-basically-useless-mobile-903"> reports that mobile access from some devices is limited</a>. Office Web Apps, in particular, is an impressive suite of products, and while they aren&#8217;t complete cloud-based replacements for the desktop Office apps &#8212; they don&#8217;t offer the full range of functionality that desktop apps do &#8212; Microsoft obviously invested a lot of effort in making the user experience very similar. The interface is familiar, and documents look identical in Office Web Apps and in the desktop applications. By enabling seamless round-trip working between Office Web Apps and Office desktop applications, Office 365 can also work when users are offline, something that can&#8217;t be said of Google Apps.</p>
<p><a href="http://gigaom2.files.wordpress.com/2011/06/coauthoring_web.jpg"><img  title="coAuthoring_web" src="http://gigaom2.files.wordpress.com/2011/06/coauthoring_web.jpg?w=300&#038;h=213" alt="" width="300" height="213" class="alignright size-medium wp-image-368654" /></a>Of course, Google believes that its product is superior. On Monday, in a post titled <a href="http://googleenterprise.blogspot.com/2011/06/365-reasons-to-consider-google-apps.html">&#8220;365 reasons to consider Google Apps&#8221;</a> on the official Google Enterprise blog, Google Apps Product Manager Shan Sinha aimed a few barbs at Office 365, saying that it is designed for usage by individuals, not by teams; that its pricing is complex; and that Office 365 doesn&#8217;t have proven cloud reliability, while Google Apps has a record of 99.9 percent uptime. Some of Sinha&#8217;s points are debatable: Office 365 does enable co-editing and collaboration, for example, and Microsoft has plenty of experience in offering cloud-based services, even if Office 365 itself is new.</p>
<h2>Easy migration to cloud productivity for existing Office users</h2>
<p>With its higher price point, Office 365 might not tempt existing corporate users of Google Apps for Business away, particularly as migrating between the two services is unlikely to be straightforward. However, that&#8217;s probably not the market that Microsoft is aiming at. Rather, it wants to keep hold of the huge numbers of business customers with existing investments in the Office product line. For them, Office 365 is a well-designed product that offers an easy migration route to cloud-based office productivity at a reasonable price point with products that will feel very familiar to their users. I think that will make Office 365 a compelling proposition for many business customers, in particular smaller businesses that would like to offer their employees the ability to work and collaborate remotely using familiar Microsoft tools but don&#8217;t want to have to make an upfront investment in, and then maintain, their own SharePoint and Exchange servers.</p>
<p>Office 365 is available on a number of different plans, starting at around $6 per user per month for small businesses with less than 25 users; enterprise customers have access to plans including dedicated support. For comparison, Google Apps for Business costs around $4 per month.</p>

			<content:encoded><![CDATA[<p>The proliferation of cloud storage providers has led to many of us storing our documents using a variety of different providers: Google Docs, Zoho, Dropbox, SugarSync, Pogoplug. Box.net, etc. That makes managing those documents tricky. Moving documents between services isn&#8217;t easy, and having to log into several places just to look for one document is inefficient.</p>
<p><a href="https://www.primadesk.com/">Primadesk</a> is a web app that wants to be a kind of desktop file manager for the cloud. By integrating with a variety of  cloud storage providers, it allows users to access and manage all of their documents through a single interface. Simply being able to view all of your documents in one place is handy, but the company has now added some new features for the app,  such as comprehensive document search capabilities and the ability to copy documents between services using drag-and-drop, that make it much more useful.</p>
<p><a href="http://gigaom2.files.wordpress.com/2011/05/docs_dt.jpg"><img  title="docs_dt" src="http://gigaom2.files.wordpress.com/2011/05/docs_dt.jpg?w=604&#038;h=431" alt="" width="604" height="431" class="aligncenter size-full wp-image-349053" /></a></p>
<p>When you click on a document to open it, Primadesk actually opens a new browser tab, automatically signs in to the appropriate service, and then takes you to the document. While it&#8217;s not quite as seamless or as fast as using, say, Finder on OSX or Explorer on Windows, it does provide a simple and convenient way to search for, and take action on, content that&#8217;s stored across many different cloud services. And unlike <a href="http://www.joukuu.com/">Joukuu</a> or <a href="http://www.gladinet.com/">Gladinet</a>, which are Windows apps that provide similar &#8220;cloud file manager&#8221; functionality, Primadesk is web-based, and so works cross-platform and on mobile devices.</p>
<p>As well as document management, Primadesk can back up documents using Amazon&#8217;s S3 cloud storage, manage photos stored on Picasa, Flickr, Facebook and other services, and can also offer a unified inbox that can monitor emails from several different accounts.</p>
<p>Primadesk is currently in beta and is free. After launch, the product will likely move to a freemium model, possibly charging for the backup features. The company also plans to make money by charging OEM license fees for the use of its technology.</p>

That means no no bottomless supply closet, no access to conference rooms or presentation tools like projectors, fewer face-to-face meetings. As you work increasingly in the cloud, what are the basic tools you need &#8212; and where do you get them?</p>
<p>Here is a list of five basic categories of tools all remote workers should have at the ready, and a variety of options to consider for each category.</p>
<h2><strong>Document Collaboration and Workspaces</strong></h2>
<p>There is a bit of a blur between virtual workspace and project management tools. These tools emphasize collaboration:</p>
<p>1. <strong><a href="http://ideapi.com" target="_blank">ideapi</a></strong>. Recently <a href="http://gigaom.com/collaboration/ideapi-helps-you-to-collaborate-on-briefs-documents-and-ideas/" target="_blank">reviewed by Simon</a>, this is a simple online tool for creating documents and collaborating on discrete sections of the documents.</p>
<p>2. <strong><a href="http://www.glasscubes.com/" target="_blank">Glasscubes</a></strong>. I&#8217;ve been using virtual workspace Glasscubes for a while now. Here&#8217;s my latest post <a href="http://gigaom.com/collaboration/taking-a-fresh-look-at-glasscubes-for-virtual-collaboration/" target="_blank">taking a fresh look</a> at the app.</p>
<p>3. <strong><a href="http://www.binfire.com/" target="_blank">Binfire</a></strong>. A free solution that lets you &#8220;manage projects by adding members, creating tasks and milestones, and assigning responsibility.&#8221; Here&#8217;s what else <a href="http://gigaom.com/collaboration/binfire-team-collaboration-and-project-management/" target="_blank">Amber has to say about Binfire</a>.</p>
<p>4. <strong><a href="http://www.hyperoffice.com/" target="_blank">Hyperoffice</a></strong>. A collaborative suite bundling email and communication, project management, database management and group meetings. <a href="http://gigaom.com/collaboration/hyperoffice-one-stop-collaboration/" target="_blank">Reviewed here</a> by Amber.</p>
<h2><strong>Project/Task/People Management</strong></h2>
<p>Some of these tools also offer collaboration features, but they are more focused on managing tasks and people and getting things done efficiently.</p>
<p>5. <a href="http://www.huddle.com/" target="_blank"><strong>Huddle</strong></a>. Many moons ago, <a href="http://gigaom.com/collaboration/huddle-offers-space-for-online-teams/" target="_blank">we reviewed Huddle</a>, and the team collaboration space is still going strong.</p>
<p>6. <strong><a href="http://cohuman.com" target="_blank">Cohuman</a></strong>. Delegate, assign and prioritize tasks with others for free. It even integrates into Google Apps. Simon <a href="http://gigaom.com/collaboration/wwd-screencast-cohuman-collaborative-task-management/" target="_blank">published a screencast</a> about this app.</p>
<p>7. <strong><a href="http://www.teamly.com/" target="_blank">Teamly</a></strong>. A collaboration tool with an emphasis on priorities, as Thursday <a href="http://gigaom.com/collaboration/teamly-collaboration-with-priorities/" target="_blank">explained in her initial review</a>.</p>
<p>8. <strong><a href="http://www.projectturf.com/" target="_blank">ProjectTurf</a></strong>. A collaboration app for running a project including briefs and time cards. Thursday <a href="http://gigaom.com/collaboration/projectturf-packs-in-features/" target="_blank">reviewed it here</a>.</p>
<p>9.<strong> <a href="http://getzcope.com" target="_blank">Zcope</a></strong>. Simon felt this combined project management and collaboration tool <a href="http://gigaom.com/collaboration/zcope-collaboration-and-project-management-combined/" target="_blank">had a lot of potential</a>. It has slightly more advanced project management features than many of its competitors.</p>
<p>10. <strong><a href="http://www.mavenlink.com/" target="_blank">Mavenlink. </a></strong>This SaaS app neatly integrates project management, collaboration and invoicing. I <a href="http://gigaom.com/collaboration/mavenlink-integrates-collaboration-project-management-and-invoicing/" target="_blank">reviewed it recently</a>.</p>

<p><a href="http://www.zoho.com/"><img title="zoho-books" src="http://gigaom2.files.wordpress.com/2011/01/zoho-books.png?w=300&#038;h=261" alt="" width="300" height="261" class="alignright size-medium wp-image-288118">Zoho</a>, a provider of an <a href="https://www.zoho.com/">extensive suite of 26 web applications</a>, many of which  <a href="http://gigaom.com/collaboration/tag/zoho/">we’ve written about previously</a>, is now offering a bookkeeping and accounting system called <a href="https://books.zoho.com/">Zoho Books</a>. It will compete with online business accounting systems like <a href="http://lessaccounting.com/">LessAccounting</a> and <a href="http://quickbooksonline.intuit.com/">QuickBooks Online</a>.</p>
<p>I was given a preview of the app, and the folks at Zoho that I talked to take great pride in operating their company using their own products. Unfortunately, I didn’t get as much of a chance to explore the product as I would have liked, but another blog announced Zoho Books prematurely, and Zoho had to take the site down until today.</p>
<p>I was impressed with what I was able to see, however. Zoho Books is intended for businesspeople who may not have accounting backgrounds, but it includes the features we’ve come to expect from accounting software, including functions to  manage  customer, invoice, banking and expense data. Users can generate estimates, quotes and invoices in multiple currencies, all of which can be customized, include company logos, and be sent electronically or by postal mail. Its systems for generating reports, automating recurring invoices and sending out payment reminders should be useful for many businesses.</p>
<p><a href="http://gigaom2.files.wordpress.com/2011/01/zoho-books-contacts.png"><img title="zoho-books-contacts" src="http://gigaom2.files.wordpress.com/2011/01/zoho-books-contacts.png?w=300&#038;h=194" alt="" width="300" height="194" class="alignleft size-medium wp-image-288119"></a>The new service is a natural extension of existing products <a href="http://gigaom.com/collaboration/show-me-the-money-online-invoicing-services-for-the-web-worker/">Zoho Invoice</a> and <a href="http://gigaom.com/collaboration/zoho-crm/">Zoho CRM</a>. Not surprisingly, Zoho Books integrates well with the existing contacts modules, and the service makes it easy to import and export data. Zoho has preset systems for importing information from other major accounting programs, and Zoho support will assist you in importing data from other sources.</p>
<p>Zoho Books also includes some  nice additions, including a function allowing accountants and financial advisorts to collaborate with business owners in real time, and a system for letting customers pay online using Authorize.net, Google Checkout, or PayPal for Business.</p>
<p>Even though the Google Apps suite competes with Zoho, the new app joins several other Zoho applications that are available in the <a href="http://www.google.com/enterprise/marketplace/viewVendorListings?vendorId=2533">Google Apps Marketplace</a>.</p>
<p>A <a href="http://www.youtube.com/watch?v=T38uOlluXxo">video tour</a> and a  free 30-day trial of Zoho Books are available, and Zoho is offering two free months for those signing up for the new service. Zoho Books is priced starting at $24/month or $240/year, which includes access for two users. Additional users may be added for $5/user/month. Combination packages will be available for those who are already using other Zoho products; pricing has not yet been set.</p>

Each user gets a limited amount of votes so they have to pick and choose which ideas/suggestions they like the most.</p>
<p>UserVoice also provides a free basic plan for one forum, and recently removed usage limits on all accounts in favor of a “fair usage” limit. This means if your web site has less than 10M pageviews a month, then you’ll have unlimited usage.</p>

So, for example, you could create a <a href="http://www.makefive.com/categories/technology/computing/most-wanted-features-for-google-buzz/" target="_self">Most Wanted Google Buzz Features</a> list, and let people vote on existing ideas and even add their own ideas.</p>

In addition to providing email using your own domain, <a href="http://www.google.com/apps/intl/en/business/index.html">Google Apps</a> offers a number of ways for businesses and organizations to collaborate, including Docs, Spreadsheets, Calendars and over 20 other applications. But competitors like <a href="http://www.zoho.com/">Zoho</a> have had <a href="http://discussions.zoho.com/">discussion groups</a> for some time, so Google definitely needed to catch up.</p>
<p>The <a href="http://www.google.com/apps/intl/en/business/groups.html">Google Apps version of Google Groups</a> looks much like the <a href="http://groups.google.com/">public version of Groups that can be used by anyone.</a> It has a plain but functional interface. However, groups created through Google Apps can be branded with an organization&#8217;s logo, and can be administered through the Google Apps dashboard to, for example, make Groups visible only to those with email addresses from the organization.</p>
<p>This new feature is not available in the free <a href="http://www.google.com/apps/intl/en/group/index.html">Standard Edition</a> of Google Apps. To get access to Groups, you must purchase Google Apps <a href="http://www.google.com/apps/intl/en/business/features.html">Premier Edition</a>, which costs $50 per user per year (a free 30-day trial is available). Groups are also available to users of Google Apps <a href="http://www.google.com/support/a/bin/answer.py?hl=en&amp;answer=72223">Education Edition</a>, which, despite the name, is available to any registered 501(c)(3) nonprofit organization in the U.S.,  as well as to schools. The Premier Edition also offers video hosting through <a href="http://www.google.com/apps/intl/en/business/video.html">Google Video</a>, technical support, uptime guarantees, email archiving, and other features.</p>

<p>Zoho CRM, Zoho Mail and Zoho Docs all get new abilities to interact with and use documents from Google Docs, which should be welcome news for anyone wanting to try out the Zoho alternative without either starting from scratch or going through an arduous migration process with their existing library of docs. <span id="more-78605"></span></p>
<p><strong>Zoho CRM</strong></p>
<p>Attach files directly from your associated Google Docs account to Leads, Accounts, and Cases within Zoho CRM. All you have to do is authenticate using your Google credentials when prompted, and <em>voila</em>, your Docs should appear for you to choose from, in addition to your Zoho Docs and files on your desktop.</p>
<p><strong>Zoho Mail</strong></p>
<p>Adding an attachment when you&#8217;re composing an email is as easy as clicking on the little arrow next to the &#8220;Attach&#8221; link, and selecting Google Docs from the list of sources. If you haven&#8217;t done so already, Zoho will send you to Google to authenticate, and then your files will appear in a list with checkboxes next to them so you can select multiple attachments at a time. Zoho also allows you to filter your Docs, so that you can view only text, spreadsheet, or presentation files.</p>
<p><strong><a href="http://webworkerdaily.files.wordpress.com/2009/12/zoho_google_docs.png"><img  title="zoho_google_docs" src="http://webworkerdaily.files.wordpress.com/2009/12/zoho_google_docs.png?w=607&#038;h=379" alt="" width="607" height="379" class=" alignleft" /></a>Zoho Docs and Projects</strong></p>
<p>The same interface is used to get documents directly from your Google Docs account to both Zoho Docs and Projects, although you might want to note that with Zoho Docs, uploading directly from Google is supported only in the dashboard view. Trying to do so from the dedicated Docs window only allows you to import from Google Docs files you&#8217;ve downloaded to your desktop.</p>
<p>I&#8217;ve always been a Google user myself, but upon revisiting Zoho&#8217;s offerings for the purposes of this piece, I find myself wondering why. I&#8217;m not a Gmail or Google Calendar guy, and short of forthcoming integration with Google Wave, which <a href="http://webworkerdaily.com/page/2009/11/10/my-first-month-with-google-wave-cant-even-stand-on-the-board/" target="_self">I&#8217;m not crazy about anyway</a>, there&#8217;s really no reason I should stick with Google when the competition is clearly much more obliging. For now, I&#8217;m going to test the Zoho waters and see how things turn out.</p>

The threat of an H1N1 outbreak is even prompting the United States <a title="Centers for Disease Control" href="http://www.cdc.gov/">Centers for Disease Control</a> to recommend that <a title="recommend businesses" href="http://www.cdc.gov/h1n1flu/business/guidance/smallbiz.htm">small businesses have telework and business continuity plans in place</a>.</p>
<p>This could place even organizations with well developed <a title="telecommuting programs" href="http://gigaom.com/collaboration/elements-of-a-corporate-telecommuting-program/">telecommuting programs</a> in a challenging position, because a major virus outbreak may mean that their remote worker needs exceed their current capacity.</p>
<p>On the flip side, there are organizations that are far from telecommuting-friendly, which face even more challenges because they aren&#8217;t set up for remote working. In order to keep their business running in such a crisis they are going to need to buy or build an infrastructure to meet a new model of working.</p>

While it      isn&#8217;t available yet, the model it promises is ideal for a scenario like this, because it can offer users remote access to their      important Microsoft Office files with a familiar interface.</li>

However, Microsoft Project maintains its crown as the most popular &#8212; albeit mostly desktop-bound &#8212; corporate project management solution. Here are some good online project management tools:</p>

<li><a title="Zoho Projects" href="http://projects.zoho.com/">Zoho      Projects</a> is an economical and innovative project management solution that Doriano <a title="previously covered" href="http://gigaom.com/collaboration/manage-projects-online-without-breaking-the-bank-with-zoho-projects-2-0/">previously covered</a> for WWD.</li>
<li>Charles <a title="reviewed Team Effect" href="http://gigaom.com/collaboration/team-effect-visual-project-management/">reviewed Team Effect</a> which garnered some      mixed comments but is worthy a trial.</li>
<li><a title="PBWorks" href="http://www.pbworks.com/">PBWorks</a> (formerly PBWiki) is another online project management option and      according to <a title="Simon's review" href="http://gigaom.com/collaboration/pbworks-introduces-project-edition/">Simon&#8217;s review</a> it is definitely worth      considering</li>

Instant Messaging</strong><br />
Keeping your team in touch with each other even if they are all stuck at home is vital. If your organization isn&#8217;t already using instant messaging, then you need to consider it as part of your contingency plan.</p>
<p>Some instant messaging solutions you should consider include:</p>

<li>Open source clients like <a title="Pidgin" href="http://www.pidgin.im/">Pidgin</a> and <a title="Adium" href="http://www.adiumx.com/">Adium</a> which let you encrypt chat sessions over commercial IM networks including      AIM, GTalk, Windows Live, and Yahoo.</li>
<li><a title="Microsoft Office Communications Server" href="http://office.microsoft.com/en-us/communicationsserver/default.aspx">Microsoft Office      Communications Server</a> also offers web-based access to its IM client.      If your organization is running it, take steps to ensure your staff      has access to it from home.</li>
</ul>
<p><strong> Web Conferencing &amp; Collaboration</strong><br />
Today&#8217;s web conferencing and collaboration tools are ideal for keeping your team working together even though they&#8217;re not all working from the same office. Here are some options for web conferencing:</p>
<ul>
<li><a title="Acrobat.com" href="http://www.acrobat.com/">Acrobat.com</a> includes <a title="ConnectNow" href="http://www.adobe.com/acom/connectnow/">ConnectNow</a>.      Thursday <a title="covered" href="http://gigaom.com/collaboration/acrobat-com-revs-up-for-business-use/">covered</a> Acrobat.com coming out of beta. It has free and      fee-based versions and includes online collaboration features.</li>
<li><a href="http://www.dimdim.com/">Dimdim</a>, which we&#8217;ve <a href="http://webworkerdaily.com/tag/dimdim/">covered before</a>, is an excellent low-cost teleconferencing tool</li>
<li>Simon covered the beta launch of <a title="Team Apart" href="http://gigaom.com/collaboration/team-apart-launches-100-beta-invites-for-wwd-readers/">Team Apart</a>, a free online collaboration tool that      offers white board, video conferencing, and file sharing. Depending on the      progress of the beta, it might be worth considering.</li>

Zoho excels in a strong user experience and feature set that is getting ever closer to rivaling traditional desktop office productivity applications. This post is going to take a look at the latest round of improvements that recently hit the app.</p>

<p><strong>Search</strong><br />
While Zoho generally stays innovative and competitive with its web office productivity suite, Zoho Notebook was beginning to lag behind &#8212; especially because it lacked a search capability. This was a major deficit in an otherwise promising note-taking tool, which has now, thankfully, been rectified. The new version displays search results in a tab on the right.</p>
<p><a href="http://webworkerdaily.files.wordpress.com/2009/08/zoho_search.png"><img  title="zoho_search" src="http://webworkerdaily.files.wordpress.com/2009/08/zoho_search.png?w=607&#038;h=349" alt="zoho_search" width="607" height="349" class=" alignleft" /></a></p>
<p>Click on a search result and the notebook appears in a new tab with the focus on the page containing the search keyword. You have the option to search across a single notebook, or across multiple notebooks.</p>
<p><strong>Move Objects Between Pages and Notebooks</strong><br />
The &#8220;Move&#8221; feature new feature resolves perhaps the greatest deficiency, after the lack of search, and lets you move objects between pages and notebooks. Under each object you will now notice a &#8220;Move&#8221; option, which lets you choose the target book/page where you want to move the object.</p>
<p><strong>HTML Export</strong><br />
Another useful new feature is HTML export. With this enhancement, you have the option to export an individual page or an entire book as an HTML page. This enhancement complements Zoho Notebook&#8217;s existing MHTML format export, which enables you to open Zoho Notebooks in Microsoft OneNote.</p>
<p><strong>Trash</strong><br />
Previously when you deleted a notebook or a page, there was no thought that you might need to restore it at a later date. Now, with the Trash feature you can restore pages or notebooks from the Trash bin. To delete a page or notebook permanently, you must do so from the Trash.</p>

<p>This latest round of Zoho Notebook enhancements are much needed and a testament that Zoho is open and responsive to user feedback. However, with the impending <a href="http://gigaom.com/collaboration/onenote-2010-technical-preview-hands-on-review/">launch of OneNote 2010</a> and the new features churning out every week from Evernote, Zoho Notebook is still in catch up mode.</p>

<p><a href="http://zoho.com" target="_blank">Zoho</a> has released a major update to <a href="http://projects.zoho.com/" target="_blank">Zoho Projects</a>, its online project management system that allows you to share projects with your team via the web. Zoho Projects 2.0 could be a tempting service for small- to medium-sized organizations that cannot afford Microsoft Project, the &#8220;gold standard&#8221; for project management in the enterprise. Zoho Projects requires no special software, just a browser and an Internet connection.</p>
<p>Several plans are available, including a free account that enables you to manage one project. That free account has unlimited users, which is a great way to get your feet wet. Create an account, invite all your team members, and give Zoho Projects a test drive before splashing out on one of the beefier plans. The good news is that you can now also import Microsoft Project files, which means you don&#8217;t have to recreate everything from scratch for an active project.<span id="more-15204"></span></p>
<p><strong>Features</strong></p>

There are many new features for Zoho Projects 2.0, such as a revamped and less-cluttered dashboard and a Twitter-like user status update service that lets people involved in a project know what everyone is doing. There are also wikis and live group chatting, which give team members the ability to communicate online in real time.</p>
<p>A useful feature is a centralized file-sharing system for storing project documentation with folders, tagging, search and versioning. Files can be Microsoft Office documents or Zoho Office documents, which is now integrated with Zoho Projects.</p>
<p>The Timesheet feature allows you to log and track time spent by individuals or groups on specific tasks. Zoho has also integrated Zoho Invoice, which can assist with creating and tracking invoices for the project.</p>

<p>The biggest competitor for Zoho Projects isn&#8217;t Microsoft Project, but actually 37Signals&#8217; popular <a href="http://www.basecamphq.com/" target="_blank">Basecamp</a> project management system. Some will prefer the slicker user interface of Basecamp over Zoho&#8217;s simplistic UI, while others will prefer the much lower cost for  Zoho plans. For example, it&#8217;s $149/month for a Basecamp unlimited projects plan compared with  $80/month for Zoho Projects. However, it&#8217;s not exactly an apples-to-apples comparison because Basecamp offers 50 GB of file storage vs. Zoho&#8217;s 25 GB.</p>
<p>Both services offer free plans for one project with unlimited users, but Zoho&#8217;s free plan includes many more bells and whistles such as SSL support, 100 MB file storage, time tracking and more. However, you can try any of Basecamp&#8217;s plans for 30 days with all of its features enabled.</p>
<p>As for performance, both solutions are perky over a DSL connection. The true test will be accessing a massive project with a large amount of users hitting it at the same time. Which one will scale better? If you take into consideration the client base for each solution, then Basecamp will probably have the edge.</p>
<p>Each service provides the basics for project management such as milestones, to-do lists, live chat, file sharing/management, time management, calendaring, Gantt Charts and wikis. Zoho does provide the unique option to integrate documents from its Zoho office suites of applications, including Zoho Invoice.</p>
<p><strong>Conclusion</strong></p>
<p>If your organization is looking for a quick and easy and affordable solution for implementing an online project management system that works with an online office suite of applications, then Zoho Projects could be just what you&#8217;re looking for. The only way to know for sure is to get your hands dirty and try it out. Take advantage of the free account for one project, let your team members kick the tires for a while and compare notes.</p>

			<content:encoded><![CDATA[<p><img  title="atsign" src="http://webworkerdaily.files.wordpress.com/2009/06/atsign.jpg?w=150&#038;h=150" alt="atsign" width="150" height="150" class=" alignleft" />As web workers, we are often asked to help friends and relatives fix computer problems. For me, the majority of these problems seem to be related to email. It&#8217;s ironic, as email is now <a href="http://www.bizjournals.com/seattle/stories/2009/03/09/daily12.html">less popular than social networks</a>.</p>
<p>So why is email such a hassle?</p>
<ul>
<li><strong>It&#8217;s more than 30 years old.</strong> Email has come a long way, but its underlying protocols haven&#8217;t changed much since the 1970s.</li>
<li><strong>It&#8217;s really three different systems.</strong> Sending (SMTP) and receiving (POP or IMAP) are totally separate functions, and are often handled on different servers. That&#8217;s why I often hear comments like &#8220;I can receive, but I can&#8217;t send&#8221; from clients.</li>
<li><strong>It&#8217;s being used for a lot of things it was never designed to do</strong>, like send images and attachments, highly formatted messages, signatures and calendar entries.</li>
<li><strong>It&#8217;s been overrun by spam</strong>, and even well-designed spam filters aren&#8217;t perfect, and cause unwanted side effects, like messages that get misidentified as spam, or just go away.</li>
<li><strong>Email software is too complex.</strong> These programs that were originally built for offline use; that is, they were set up so that users could read and write messages without being connected to the internet. Sending and receiving would happen in batches. That made sense when internet connections were slow, expensive and charged by the minute. Now that most people have always-on connections like cable or DSL, that process is less necessary. Desktop email client software is a pain to set up and use; as someone who helps many people with email, Outlook is the bane of my existence.</li>
<li><strong>Many of us connect to the Internet in more than one place</strong> &#8212; at work, at home, and on cell phones. It can be very frustrating to realize that we&#8217;ve left the message we needed to reply to at the office.</li>
<li><strong>Many of us have more than one email address.</strong> I try to keep my work and personal email separate, plus I have a series of email addresses that I use when registering on websites that might try to send spam. And I have several email addresses that were given to me, such as the ones that are automatically created when signing up for instant-messaging services like Yahoo, AIM and Windows Live/MSN.</li>
</ul>
<p>What can be done to overcome these problems? Here are some tips that might help you and your clients and friends be more productive.<span id="more-14440"></span></p>
<ul>
<li><strong>Get your email on the web.</strong> Dump your desktop email software, and switch to Gmail/Google Apps or another online provider like Yahoo. If your Internet connection is unreliable, <a href="http://gears.google.com/">Google Gears</a> lets you work offline.</li>
<li><strong>Create a master inbox.</strong> If you have multiple email accounts, you can set up forwarding to <a href="http://gmailblog.blogspot.com/2009/06/tip-check-and-reply-from-multiple-email.html">receive and send email from one place</a>.</li>
<li><strong>Use IMAP.</strong> If you need mobile access to your email, set up your phone software to use <a href="http://mail.google.com/support/bin/answer.py?hl=en&amp;answer=75725">IMAP</a>, not POP. By using IMAP, your messages will sync automatically in all of the places you check your mail.</li>
<li><strong>Use social networks. </strong>It seems like all of my friends under 30 don&#8217;t do email anymore, but they&#8217;re on Facebook a lot.</li>
<li><strong>Use instant messaging.</strong> For short, simple conversations, IM can be very efficient. In a few seconds, you can schedule a meeting or a lunch date. It&#8217;s much faster than email or phone conversations.</li>
<li><strong>Use file-sharing services for sending large documents.</strong> There are <a href="http://gigaom.com/collaboration/the-email-attachment-problem-and-how-were-not-solving-it/">lots of such services</a>, and new ones are popping up all the time, including <a href="http://gigaom.com/collaboration/fluxiom-asset-management-for-creative-teams/">Fluxiom</a> and <a href="http://gigaom.com/collaboration/filesharehq-now-offering-paid-accounts-and-branding/">FileShareHQ</a>. And <a href="http://gigaom.com/collaboration/dropbox-opens-to-the-public/">Dropbox</a> and the new <a href="http://gigaom.com/2009/06/16/opera-unite-hopes-old-idea-entices-new-developers/">Opera Unite</a> service allow you to share files directly from your computer.</li>
<li><strong>Organize your electronic communications.</strong> <a href="http://gigaom.com/collaboration/how-to-deal-with-low-quality-messages/">Celine wrote about this</a> recently, and <a href="http://blog.chcs.com/index.cfm/2009/2/16/Managing-Electronic-Connections-Without-Spending-All-Day-on-the-Computer">I&#8217;ve talked about it</a>, too.</li>
</ul>
<p>Oh, and one more:</p>
<ul>
<li><strong>Remember your passwords.</strong> This is obvious to you and me, but I&#8217;ve heard &#8220;I didn&#8217;t know I had a password&#8221; way too often. Online services like <a href="http://lastpass.com/">LastPass</a>, or programs like <a href="http://jkontherun.com/2009/03/04/agile-adds-safari-4-support-to-1password/">1Password</a>, <a href="http://www.splashdata.com/splashid/index.asp">SplashID</a>, or the free KeePass (<a href="http://keepass.info/">Windows and phones</a>; also available for <a href="http://www.keepassx.org/">Mac and Linux</a>) can be lifesavers.</li>

Zoho&#8217;s apps are particularly good for collaborative use. While Zoho <a href="http://gigaom.com/collaboration/zoho-mail-offline-iphone/">already offered its applications for use on iPhones</a>, it&#8217;s now released <a href="http://www.zoho.com/mobile/index.html">Zoho Mobile</a>, which extends its applications out to Android, BlackBerry, Windows Mobile and Symbian mobile devices.</p>
<p><span id="more-11869"></span><br />
You can <a href="http://show.zoho.com/public/raju/Zoho%20Mobile">view a presentation showing how Zoho Mobile works here</a>. Zoho did pull a few punches with this offering, but it still looks very good. Almost all of its applications are available in Zoho Mobile. However, <a href="http://jkontherun.com/2009/04/28/zoho-mobile-launches/">as also reported by jkOnTheRun</a>, I wasn&#8217;t able to do any editing in spreadsheets. Also, it looks like documents are only viewable as plain text, and not editable. You can compose email using Zoho Mail, and Zoho&#8217;s announcement says, &#8220;going forward, the company plans to expand both the feature functionality and the portfolio of Zoho applications available in Zoho Mobile.&#8221;</p>
<p>Zoho evangelist Raju Vegesna adds, “Mobility is an important aspect for online applications like Zoho. With Zoho Mobile, we want to provide access to your data on your preferred mobile device. All our current and future mobile initiatives will be available under Zoho Mobile as we expand mobile support for all our upcoming applications.”</p>
<p>It&#8217;s good to see the Zoho applications going mobile for so many popular platforms, and the interfaces for the applications on Zoho Mobile are slick and uniformly executed. I&#8217;m hoping to see a full set of editing and interactivity features added to the mix soon, as seen in Zoho&#8217;s standard web-based applications.</p>

They cost a bundle and contain features that most web workers don&#8217;t need. <a href="http://www.zoho.com">Zoho</a> has a relatively simple CRM solution that&#8217;s free for up to three users. Although it takes some figuring out, it&#8217;s a good option to consider for web workers.</p>
<p><a href="http://CRM.zoho.com">Zoho CRM</a> comes with all the basic CRM functions you&#8217;d expect: You can manage campaigns and leads, view reports and dashboards and manage inventory.</p>
<p><strong>Getting Started</strong></p>
<p>It&#8217;s best to start at <a href="http://CRM.zoho.com">CRM.zoho.com</a>, even if you have an existing Zoho account. At first glance, the application looks overwhelming, especially if it&#8217;s the first CRM package you&#8217;ve used. Zoho has a useful <a href="http://www.zoho.com/crm/videos/ZohoCRM_Getting_Started/ZohoCRM_Getting_Started.html">Getting Started video</a> that gives you a quick overview of the application and makes it feel less threatening.</p>
<p>Everything you need to access appears in the tabs at the top of the screen and the links below them. You can customize most of the reports and dashboards as well as the settings for every tab.<span id="more-10048"></span></p>
<p>The first thing you&#8217;ll want to do is add a second user as an administrator so you can access more features, including adding your company&#8217;s logo.</p>

<p><strong>Setup</strong></p>
<p>To start with, you need to import your business contacts. This will give you some content in your CRM to work with the rest of its features. You can import contacts from whatever application you use for business contacts, in comma-separated value (.csv), Excel (.xls) or vCard (.vcf) format. A tip: Before importing the data, open the file in Excel and make sure the first row contains headings, as you&#8217;ll need to <a href="http://www.zoho.com/crm/images/importmapping.gif">match up Zoho&#8217;s fields with your data</a>.</p>
<p>If, like many web workers, you have a service-based business, it will take a little work to figure out how to set up Zoho CRM. It focuses on products and doesn&#8217;t work with hourly rates. For example, if you&#8217;re a writer creating a quote for some web content, you&#8217;ll need to treat the web content as a package and give it a flat project rate. If you charge by the hour, you can always make a note of it in the description field.</p>
<p><strong>Fields, Forms and Features</strong></p>
<p>Zoho CRM has a useful wiki-based <a href="http://zohocrm.wiki.zoho.com">Help</a> section. Helpfully, it includes user questions and answers at the end of each page.</p>
<p>You&#8217;ll need to refer to that Help section every now and again, because some of Zoho CRM&#8217;s field names take some figuring out. For example, the &#8220;Create Potential&#8221; form requires filling out the &#8220;Potential Name&#8221; and &#8220;Account Name&#8221; fields. Do they both take the company name? Or a contact person&#8217;s name? It takes a little digging into the Help section and even there, it&#8217;s not clear.</p>
<p>Fortunately, the required fields are few. Zoho has plenty of non-required fields so you can keep track of as many details as you need. Its settings let you remove unneeded fields, but it won’t let you change field names such as &#8220;Unit Price.&#8221;</p>
<p><strong>Tracking and Managing Leads</strong></p>
<p>The key reason businesses invest in CRM is for tracking and managing sales leads. The Leads tab lists all the active leads for easy reviewing and updating. After creating a new lead, you can return to that lead to update its page with information including attachments, products and activity tracking. You send emails straight from the application, with a record of the sent email added automatically to the lead&#8217;s page.</p>
<p>If you need to track many leads, Zoho CRM keeps all the information in one place for easier management. Once a lead converts to a sale, Zoho CRM removes it from the Leads tab and moves it though the pipeline, automatically creating the account details.</p>
<p><strong>Customer Support</strong></p>
<p>Customer support is handled with the Cases feature, which provides tools to manage customer trouble tickets. Another useful feature is Solutions. Here you can keep track of common questions and answers. Then when a customer or a prospect has questions, and you can search Solutions to see if you or another person in your team has solved it before.</p>
<p>As well as being able to search within specific categories, like Solutions, an account-wide search box is always available. The search results are sorted by category.</p>

<p><strong>Activities and Calendar<br />

<p>You can keep track of key dates using the Calendar. You can also enter tasks and activities along with due dates in Activities. However, they don’t show up on the Calendar, and they should.</p>

<p><strong>Price</strong></p>
<p>Zoho CRM is available in <a href="http://www.zoho.com/crm/zohocrm-pricing.html">three different flavors</a>. While most web workers should be able to get by with the free version, the Professional edition costs $12 per user per month, while the Enterprise edition costs $25 per user per month. Note that Zoho charges for some features on the free account, such as the Outlook plug-in, requests for importing all data and adding storage space.</p>

Compared to other CRM solutions, Zoho&#8217;s CRM package is affordable and easier to learn. Web workers will more than likely find most of what they need in Zoho CRM for a great price.</p>

			<content:encoded><![CDATA[<p><img  title="writerlogo" src="http://webworkerdaily.files.wordpress.com/2009/03/writerlogo.png?w=150&#038;h=25" alt="writerlogo" width="150" height="25" class=" alignleft" />There is very little reason to depend on a hard drive-based application for your word processing needs these days. <a href="http://docs.google.com/">Google Docs</a> provides everything most users will ever need; you already have it if you have a Gmail account, and it works offline, thanks to <a href="http://gears.google.com/" target="_self">Google Gears</a>. Another solution, <a href="http://writer.zoho.com" target="_self">Zoho Writer</a>, which also works offline thanks to Gears, just got a major interface overhaul in its 2.0 incarnation, and now is more poised than ever to provide a complete alternative to Office and other similar programs.</p>
<p>The problem with Zoho, until now, has been one of constant improvement. That may not seem like a problem at all, but when that improvement involves adding more and more features, but keeping the interface the same, it can get a little unruly. The new redesign tries to make sure Zoho doesn&#8217;t overwhelm you visually, which in turn makes it easier to work with.</p>

<p style="text-align: left;">While some liked the old UI, I found it too cluttered, because I normally like to edit in full screen, and like as little chrome as possible in my browsers. The changes to the top menu give you a bit more room, but more importantly, they group and hide a lot of commands so you aren&#8217;t left feeling crowded. The new &#8220;MenuTab&#8221; feature groups similar commands under general headings. You can access these commands either by clicking the tab, which changes the button set available on your toolbar (much like Microsoft&#8217;s &#8220;Ribbon&#8221; UI for Office) or by clicking the little arrow next to them, which opens a drop-down menu without changing your toolbar.</p>

<p>It makes sense, and it suits multiple tastes. You&#8217;ll be comfortable if you&#8217;re used to working with Office, or if you&#8217;re used to working with drop-down menus like you&#8217;ll find in a lot of web apps. Zoho plans to use MenuTab in all of its other applications in the future, too, so even if you don&#8217;t like it, plan on getting used to it!</p>
<p>I won&#8217;t go into detail about Zoho Writer, since we&#8217;ve <a href="http://gigaom.com/collaboration/zoho-writer-lets-you-edit-documents-offline/" target="_self">covered</a> it <a href="http://gigaom.com/collaboration/zoho-writer-updates-with-useful-new-features/" target="_self">before</a>. It&#8217;s not new, but I still love Zoho&#8217;s tabbed management of open documents. I much prefer it to Google&#8217;s opening of new browser tabs for each document, although that makes much more sense when you take into account Google Chrome&#8217;s handling of each tab as a separate process. And I still miss Google&#8217;s full-screen edit mode too much to make a permanent switch.</p>
<p>Still, if you&#8217;re a Zoho user, or if you tried it out before but didn&#8217;t like it because of the interface, Zoho Writer 2.0 gives you ample reason to take it out for a second spin.</p>
