It&#8217;s easier to excel if you can do more than your peers while still having time to relax and recharge.</p>
<p>Here are my tips for getting more done in less time:</p>
<ol>
<li><strong>Stay focused on the important work.</strong> Keep your eye on the work that will have the biggest impact, and make sure you finish the most important work first. Don&#8217;t get caught up in tasks, even those that seem urgent, if they aren&#8217;t really important.</li>
<li><strong>Learn keyboard shortcuts.</strong> The more you can do without taking your fingers off of the keyboard, the faster you&#8217;ll finish your work, so take the time to learn available keyboard shortcuts for commonly-used tasks. Email, RSS readers, browsers and any other frequently-used apps are good places to start. Keyboard shortcuts aren&#8217;t only available in desktop apps; many web apps, such as <a href="http://gigaom.com/collaboration/productivity-tip-google-reader-keyboard-shortcuts/">Google Reader</a> and <a href="http://gigaom.com/collaboration/productivity-tip-gmail-keyboard-shortcuts/">Gmail</a>, also have keyboard shortcuts.</li>
<li><strong>Know whom to ask for help</strong>. If you can spend less time trying to figure things out for yourself, you can get more done. Make connections with people in your company and your industry you can ask for help. However, you&#8217;ll need to be prepared to help others, too.</li>
<li><strong>Filter anything you can.</strong> If you get really good at automatically filtering out the noise, you can focus only on what you really need to see. Set up filters wherever possible: in your <a href="http://gigaom.com/collaboration/tips-for-handling-information-overload/">email</a>, <a href="http://gigaom.com/collaboration/how-to-hack-rss-to-reduce-information-overload/">RSS reader</a> and more.</li>
<li><strong>Learn to skim. </strong>If you get good at skimming over content without reading every word, you can quickly determine which items require your attention and which ones can be ignored. This works for reading social network posts, news and email.</li>
<li><strong>Touch once.</strong> This one is hard for me to stick with, but when I do it, it really makes a difference. For email or other communications, look over it and decide what to do with it right away: archive, respond, create a task item, flag for followup, etc. Regardless of how you process communications, just make sure you deal with them once rather than looking at them multiple times.</li>
<li><strong>Take control of your calendar.</strong> I&#8217;m really proactive about my calendar, and I only attend meetings where there is some benefit from my attendance. If you want to have time to get any real work done, you&#8217;ll probably need to occasionally decline meetings.</li>
<li><strong>Become the master of your email.</strong> Don&#8217;t let email control you. Finding ways to <a href="http://gigaom.com/collaboration/email-information-overload/">reduce email overload</a> and proactively deal with email will allow you to spend less time on email and more time on actual work.</li>
<li><strong>Work in chunks and focus. </strong>Despite what some might think, <a href="http://gigaom.com/collaboration/is-multitasking-a-productivity-killer/">humans are not great at multitasking</a>. We work better when we focus on one thing at a time. I do this by <a href="http://gigaom.com/collaboration/how-i-work-in-chunks/">breaking my work up into logical chunks</a> where I can focus on specific tasks.</li>
<li><strong>Get really good at using search engines.</strong> Learn <a href="http://gigaom.com/collaboration/10-simple-google-search-tricks/">little tricks for your favorite search engine</a>. For example, with Google, you could search for &#8220;productivity site:gigaom.com/collaboration&#8221; to find all of the productivity tips posted on this blog. Spending less time looking for information means that you can get more done.</li>
<li><strong>Automate routine tasks.</strong> For any mundane tasks that you perform manually over and over, you should find a way to automate them if at all possible. I write scripts, automatically process email with rules and filter RSS feeds to <a href="http://gigaom.com/collaboration/automate-your-way-to-productivity/">automate tasks</a> and spend less time on things I can have the computer do for me.</li>
<li><strong>Prune.</strong> Have less data to process. Dump those irrelevant newsletter subscriptions, drop the social network contacts who don&#8217;t have anything interesting to say and prune feeds out of your RSS reader. Focus on the important information and get rid of the rest.</li>
<li><strong>Keep it simple. </strong>When faced with any task, look for ways to keep things simple and avoid spending time on complexity that doesn&#8217;t add much value. Simple document formatting is a good example. Focus on the content that matters without getting too caught up in having elaborate formatting that could create more maintenance problems later.</li>
<li><strong>Get news from podcasts.</strong> I pick and choose the news sources important to me with a combination of mainstream news and news on niche technology topics, and I listen to that news when I&#8217;m doing household chores, driving, grocery shopping, working out and more. I get only the news I want, and I listen to it at times I wouldn&#8217;t otherwise be productive, which allows me to keep up with industry news while spending little time on it.</li>
<li><strong>Take time to recharge.</strong> If you work constantly, you&#8217;ll look like you are busy, but you&#8217;ll burn yourself out. If you really want to be productive, you need to take time to workout, do something fun, take a vacation, read or do something else relaxing. You&#8217;ll find that you come back to work with new ideas and focused energy to make a real impact.</li>

			<content:encoded><![CDATA[<p><a rel="attachment wp-att-154608" href="http://gigaom.com/collaboration/5-tips-for-getting-the-most-out-of-google-reader/screen-shot-2010-09-08-at-5-47-17-pm/"><img  title="Google Reader" src="http://gigaom2.files.wordpress.com/2010/09/screen-shot-2010-09-08-at-5-47-17-pm.png?w=300&h=232" alt="" width="300" height="232" class="alignright size-medium wp-image-154608" /></a>I&#8217;m an <a href="http://gigaom.com/collaboration/increase-your-efficiency-with-creative-rss-usage/">RSS junkie</a>, and while I realize that not all of the world&#8217;s problems can be solved using RSS, for many of us, more efficient use of our RSS readers can have a big impact on our overall productivity. As <a href="http://www.google.com/intl/en/googlereader/tour.html">Google Reader</a> seems to be one of the more widely-used RSS readers and is the that one I currently use, I thought it would be a good idea to share some tips for getting the most out of it.</p>
<h3>Learn Keyboard Shortcuts</h3>
<p>You can blast through your feeds with a few simple keyboard shortcuts that allow you to <a href="http://gigaom.com/collaboration/productivity-tip-google-reader-keyboard-shortcuts/">quickly move around without slowing down to reach for the mouse or the touchpad</a>. It also seems that some features don&#8217;t really have a click-able counterpart, so the only way to access them is through the keyboard shortcuts. You can get a list of the available keyboard shortcuts from the <a href="http://www.google.com/support/reader/bin/answer.py?hl=en&amp;answer=69973">Google Reader help page</a>, but here are a few of my personal favorites that I use most frequently:</p>
<ul>
<li><em>?</em> &#8211; get a list of keyboard shortcuts</li>
<li><em>j</em> &#8211; move to the next item in the feed</li>
<li><em>k</em> &#8211; move to the previous item in the feed</li>
<li><em>&lt;space&gt;</em> &#8211; page down</li>
<li><em>&lt;enter&gt;</em> &#8211; open or close an item</li>
<li><em>v</em> &#8211; view original post</li>
<li><em>r</em> &#8211; refresh feed</li>
</ul>
<h3>Go Full screen</h3>
<p>For really serious reading, you&#8217;ll want to go into <a href="http://googlereader.blogspot.com/2010/08/fullscreen-and-more.html">full screen mode</a> and use all of your available screen real estate for reading feeds. In full screen mode, you get a simple window showing the current feed with no additional clutter. You can navigate using the navigation shortcuts above, in addition to some shortcuts that are specific to using full screen mode:</p>
<ul>
<li><em>f</em> &#8211; enter or exit full screen mode</li>
<li><em>&lt;shift&gt;+u</em> &#8211; show pop-up navigation menu to change feeds</li>
</ul>
<h3>Ditch the Home Page</h3>
<p>While the home page has some interesting things like tip of the day and recently read items, if your goal is to maximize your productivity and efficiency, you should set your landing page to something else. I have all of my most important feeds in a single folder named &#8220;Critical&#8221; and I start there. You can change your start page by going to <em>Settings -&gt; Reader settings -&gt; Preferences -&gt; Start page</em>, and select from any folder that you have created, or from a selection of other pages (All items, Starred items, etc.)</p>
<h3>Group and Prioritize</h3>
<p>I make extensive use of folders as a way to group and prioritize my feeds. They have become even easier to use after the recent addition of the rename folder functionality. The feeds that are most important located at the top of my navigation window. The order of the folders denotes their importance to me, but this shifts around a bit depending on my current projects. I simply drag the folders around within the subscriptions navigation pane to reorder them.</p>
<p>I also group things into folders based on projects or context. For example, I usually put my work-related feeds into a couple of folders grouped by topic that I can easily get through without being distracted by personal items. Keep in mind that you can also click on a folder and navigate through all of the posts within that folder across all of the feeds, so you can get through the folder more quickly than if you are navigating the individual feeds. As a result, I sometimes put critical feeds in multiple folders (critical folder and project folder) so that I can glance at it when I land on my start page of critical feeds or when I&#8217;m browsing through the project folder. Reading an item in one folder also marks it as read in any other folder, so you don&#8217;t have to worry about duplication.</p>
<h3>Use Trends</h3>
<p><a rel="attachment wp-att-154607" href="http://gigaom.com/collaboration/5-tips-for-getting-the-most-out-of-google-reader/screen-shot-2010-09-08-at-5-41-09-pm/"><img  title="Reader Trends" src="http://gigaom2.files.wordpress.com/2010/09/screen-shot-2010-09-08-at-5-41-09-pm.png?w=300&h=115" alt="" width="300" height="115" class="alignright size-medium wp-image-154607" /></a>The trends page is surprisingly interesting and useful. You can find it in the left-hand navigation pane, or with this shortcut combination: <em>g </em>then<em> &lt;shift&gt;+t</em>. While you can get some interesting insights into which feeds you really read, when you read them and what you clicked, the real value is in <a href="http://gigaom.com/collaboration/more-efficient-rss-reading/">pruning your feeds</a>. Take a look at the frequently-updated feeds section of the subscription trends; these are the high volume feeds in your reader. Now, which ones do you really still read and which ones have the zero percent read rating? You can unsubscribe from the dead weight by clicking the conveniently-located trash can, and it won&#8217;t take you long at all to reduce the clutter.</p>

			<content:encoded><![CDATA[<p>It’s always been disappointing that Google Apps accounts (those with custom domains) haven’t had access to as many services as accounts with addresses @gmail.com. That is now changing.</p>
<p><a href="http://webworkerdaily.files.wordpress.com/2010/07/apps-letter.png"><img title="apps-letter" src="http://webworkerdaily.files.wordpress.com/2010/07/apps-letter.png?w=300&h=237" alt="" width="300" height="237" class=" alignleft"></a>As was <a href="http://smarterware.org/6394/google-apps-vs-google-accounts-resolution-coming">reported</a> a few weeks ago, selected Google Apps are now being given the opportunity to transition their users to “enhanced” Google Apps accounts. Such enhanced accounts include:</p>
<ul><li>Access to services, like Google Reader, that haven’t been available in Apps accounts previously. While Google says that <a href="http://www.google.com/intl/en/options/">many services</a> will now be available, some, like iGoogle, Google Voice and Google Wave, are not yet integrated into the new accounts.</li>
<li><a href="http://webworkerdaily.files.wordpress.com/2010/07/multiple-sign-on.png"><img title="multiple-sign-on" src="http://webworkerdaily.files.wordpress.com/2010/07/multiple-sign-on.png?w=300&h=65" alt="" width="300" height="65" class=" alignleft"></a>A “single sign-on” function that allows users to access Gmail, Calendar, Docs, iGoogle, Sites, Talk, Groups, Contacts, and  Knowledge Search with the same user name and password information. It’s also possible to log in to these services at locations like http://mail.google.com with your full Google Apps email address.</li>
<li>The ability for domain administrators to select which services their users may access.</li>
</ul><p><a href="http://webworkerdaily.files.wordpress.com/2010/07/gap_conflicting_accounts_201006bg.gif"><img title="gap_conflicting_accounts_201006bg" src="http://webworkerdaily.files.wordpress.com/2010/07/gap_conflicting_accounts_201006bg.gif?w=300&h=186" alt="" width="300" height="186" class=" alignleft"></a>Google has set up a system for managing personal Google accounts that were set up using the same email address as organization-managed Google Apps accounts. Such “<a href="http://www.google.com/support/a/bin/answer.py?hl=en&amp;answer=185172">conflicting accounts</a>” can be resolved in a <a href="http://www.google.com/support/a/bin/answer.py?hl=en&amp;answer=185186">couple of different ways</a>.<a href="http://webworkerdaily.files.wordpress.com/2010/07/google-accounts_1279627047021.png"><img title="Google Accounts_1279627047021" src="http://webworkerdaily.files.wordpress.com/2010/07/google-accounts_1279627047021.png?w=300&h=179" alt="" width="300" height="179" class=" alignleft"></a></p>
<p>There is an extensive <a href="http://www.google.com/support/a/bin/topic.py?topic=28917">help menu</a> that explains how the whole process works, although I found the step-by-step instructions fairly clear. I did get a couple of “invalid page request” errors during setup of the transition, though, so it appears that Google is still working out <a href="http://www.google.com/support/a/bin/answer.py?hl=en&amp;answer=182161">some bugs</a>.</p>
<p>Domain administrators have the option to transition all users immediately, or to select up to 10 “early adopters” that get access to the new services now. Once the testing is complete, administrators can transition everyone, or roll back the updates temporarily, although Google says that the updates will be universal by September 30.</p>

		<title>FeedsAnywhere: A Mobile RSS Reader</title>

I confess to being a news junkie, and have a huge number of RSS feeds that I follow. I generally use Google Reader, as it makes it easy to sync what I’ve read between computers.</p>

So I was interested to try a new free service called <a href="http://feedsanywhere.com/">FeedsAnywhere</a> that promised to improve Google Reader’s own mobile experience. Since it’s HTML-based, it works on lots of mobile devices, including iPhones and BlackBerrys, as well as on laptops and desktops.</p>
<p>FeedsAnywhere  has some nice <a href="http://feedsanywhere.com/tour">features</a>:</p>
<ul><li>Manual feed selection or OPML import and export if you want to manage feeds without syncing to Google Reader.</li>
<li>An “interesting view” that tracks your reading and presents you with items it thinks you’ll like. I found this feature slightly creepy, but you can turn it off. See FeedsAnywhere’s <a href="http://feedsanywhere.com/faq">FAQ</a> and <a href="http://feedsanywhere.com/privacy">privacy policy</a> for more information on how it works.</li>
<li><a href="http://webworkerdaily.files.wordpress.com/2010/06/feedsanywhere-screenshot-2.jpg"><img title="feedsanywhere-screenshot-2" src="http://webworkerdaily.files.wordpress.com/2010/06/feedsanywhere-screenshot-2.jpg?w=200&h=300" alt="" width="200" height="300" class=" alignleft"></a>A simple menu lets you select how you want items from your feeds to be displayed.</li>
<li>A feed search option directly on the service’s main screen.</li>
<li>The ability to create “personal feeds” of news items you’ve selected.</li>
</ul><p>Setting up FeedsAnywhere is pretty simple. Go to the <a href="http://feedsanywhere.com/">FeedsAnywhere website</a> and create an account. You’ll need to provide FeedsAnywhere with your Google username and password, which some readers may not be comfortable doing.</p>
<p>It’s in private beta, but the first 100 WWD readers to <a href="http://feedsanywhere.com/user/register">sign up</a> using the invitation code <strong>gigaom</strong> will get access. I wasn’t able to register using my iPod touch, so you’ll need to set up your account using the browser on your desktop or laptop machine before moving to your mobile device.</p>
<p>After trying FeedsAnywhere, I still prefer the iPhone/iPod touch apps <a href="http://gigaom.com/collaboration/must-have-iphone-and-ipod-touch-apps-for-newbies/">Reeder</a> and <a href="http://phantomfish.com/byline.html">Byline</a>. But if you’re interested in a free (ad-supported)  RSS reader that offers a better mobile interface than Google Reader’s own, give FeedsAnywhere a try.</p>

<p>Need to get a handle on how much time you’ve spent on a particular project or task? There are apps for that — some standalone, some that integrate with your invoicing systems, and some like <a href="http://www.brainsoftlabs.com/" target="_blank">Where is My Time</a> that help you to analyze how the time flew by and how productive you were during that time. Here are some others:</p>

</ul><p>For quick contact information exchange, I love the <a href="http://www.poken.com/" target="_blank">Poken social business card</a> and am so disappointed that they aren’t taking off like I think they should. I wear my cute skull Poken at every conference I go to but have yet to get “poked” unless Poken is a conference sponsor.</p>
<p>I’m also keen on <a href="http://bu.mp/" target="_blank">Bump for the iPhone</a> and Android, and also covered some other contact sharing apps in this roundup: <a href="http://gigaom.com/collaboration/5-ways-to-beam-your-business-card/" target="_self">DropCard, Rmbrme, BeamMe, ShareCard, SnapDat.</a></p>
<p>At SXSW, I was given a very impressive demo of relationship management tool <a href="http://www.gist.com/" target="_blank">Gist</a> (<a href="http://gigaom.com/collaboration/relationship-manager-gist-opens-public-beta/">see  our review here</a>) that promised a lot, though I have yet to incorporate it into my daily work.</p>
<p><strong>4. RSS Reader</strong></p>
<p>I don’t know about you, but I’m over RSS readers. But to be fair to those who have yet to discover the social firehose, you could go with the ever-popular <a href="http://www.google.com/reader">Google Reader</a> and the novelty of <a href="http://snackr.net/">Snackr</a>, which puts a little ticker at the bottom of your computer screen for passive, almost subliminal consumption of your feeds.</p>
<p>And here are a few other popular feed readers:</p>
<ul><li><a href="http://gigaom.com/collaboration/filtrbox-g2-expands-service-and-cuts-pricing/" target="_self">Filtrbox</a> (see <a href="http://gigaom.com/collaboration/filtrbox-dials-the-noise-way-down/" target="_self">my initial review here</a>)</li>
<li><a href="http://www.netvibes.com/" target="_blank">Netvibes</a> (this is really more of a “build your own landing page” service that incorporates feed reading features)</li>
<li><a href="http://www.feedly.com/" target="_blank">Feedly</a> (a similar landing page service)</li>
</ul><p>For saving articles to read later, I currently use a combination of <a href="http://www.delicious.com" target="_blank">Delicious</a>, <a href="http://www.instapaper.com/" target="_blank">Instapaper</a>, and <a href="http://twitter.com/alizasherman/favorites" target="_blank">“favoriting” tweets containing links on Twitter</a>.</p>
<h3><strong>Communications</strong></h3>
<p><strong>5. <span style="text-decoration: line-through;">Email management </span>Social communications management<br></strong></p>
<p>I have changed the heading of this section because I find that my communications are no longer mainly taking place through email, and are increasingly moving into my social networks.</p>
<p>While I am trying to move away from Gmail and start using email management tool <a href="http://www.postbox-inc.com/" target="_blank">PostBox</a> again (its attachment management tools make it a compelling option for me), I am also looking out other social communications management systems and apps.</p>
<p>I was panicked to find <a href="http://www.threadsy.com" target="_blank">Threadsy</a> — the intriguing integrated communications client that you could use to see your email, social networks, and Twitter in a single place — under “re-construction” but have signed up to see what is happening with the app.</p>
<p>You might also like to check out a few email productivity add-ons we’ve reviewed, such as <a href="http://gigaom.com/collaboration/xobni-brings-even-more-to-your-outlook-inbox/">Xobni</a>, <a href="http://gigaom.com/collaboration/rapportive-gmail-crm/">Rapportive</a> and <a href="http://gigaom.com/collaboration/mailbrowser-a-plugin-to-manage-gmail-contacts-and-attachments/">MailBrowser</a>.</p>
<p><strong>6. Calls, Conferencing and Instant Messaging</strong></p>
<p>Right now, my company has been moving away from <a href="http://www.skype.com" target="_blank">Skype.</a> Although we all love the app, it seems to drops our calls almost constantly now. We are moving back to the old-fashioned telephone for calls, while for conferencing we have been using <a href="http://www.freeconference.com" target="_blank">FreeConference.com.</a></p>
<p>Here are a few phone conferencing and webinar-style conferencing systems that I also use:</p>

</ul><p>Note that I didn’t include <a href="http://www.webex.com/" target="_blank">WebEx</a> in the list. I am convinced that the company, which once dominated this space, has had a hard time keeping pace with the more nimble startups.</p>
<p>One other phone-related service that my company is trying is <a href="http://www.evoice.com/" target="_blank">eVoice</a>, because we need a virtual PBX system that can accommodate our UK office as well as multiple U.S. locations. Unfortunately,  I don’t have enough experience with it yet to tell you how it is working for us. Stay tuned.</p>

<p><strong>7. Project management</strong></p>
<p>My company first used <a href="http://www.basecamphq.com/" target="_blank">Basecamp </a>for project management before switching to <a href="http://www.5pmweb.com/" target="_blank">5pm</a>. Today, I’m seriously checking out <a href="http://www.glasscubes.com/" target="_blank">glasscubes</a> as it provides project management together with collaborative space. It is much lighter on the project management side — it’s really just a task management  app — but I’m getting a feel for the company’s interesting take on how virtual groups can work better together. More on that soon, too.</p>

<p><strong>8. Calendars and Schedules</strong></p>
<p>I’m excited about the web-based services that allow me to give out a link to my calendar — or just a portion of my calendar — so  people can get on my schedule. But as my post about a<a href="http://gigaom.com/collaboration/live-from-sxsw-its-a-scheduling-bungle/" target="_blank"> scheduling bungle at SXSW</a> due to system time zone issues, I know that there is still no single tool that “does it all.”</p>
<p>Still, here is a quick rundown of a few tools I’m still using or trying out:</p>

</ul><p><strong>9. Cloud-based collaboration/document sharing</strong></p>
<p>While I still use <a href="http://docs.google.com/" target="_blank">Google Docs</a>, some fundamental integration issues are making me look elsewhere. As I mentioned earlier, my company is currently experimenting with <a href="http://www.glasscubes.com/" target="_blank">glasscubes</a>.</p>
<p>Here are a few others:</p>

</ul><p>And I know you’re going to think this is kooky, but the 2.0 version of <a href="http://www.spinscape.com/" target="_blank">Spinscape</a> combines mind mapping principles and collaborative communications in a way that is quite compelling to me.</p>
<p><strong>10. File storage/backup/sync</strong></p>
<p>Take a look at <a href="http://www.sugarsync.com/" target="_blank">SugarSync</a>. It provides backup, file sync and file sharing “on-the-go” on any Mac, PC or mobile device <a href="http://www.sugarsync.com/" target="_blank"> (</a><a href="http://gigaom.com/collaboration/can-sugarsync-save-your-company-document-pain/" target="_blank">check out my review here)</a>. Here are some other useful options:</p>

			<content:encoded><![CDATA[<p><a href="http://gigaom2.files.wordpress.com/2010/02/buzzlogo.jpg"><img  title="buzzlogo" src="http://gigaom2.files.wordpress.com/2010/02/buzzlogo.jpg?w=160&h=160" alt="" width="160" height="160" class=" alignleft" /></a>Like many of you, I&#8217;ve been spending the past few days experimenting with Google Buzz. There are lots of reasons to like it, as <a href="http://gigaom.com/collaboration/google-buzz-already-better-than-google-wave-and-maybe-facebook-too/">Darrell said</a>, and there have already been some great tips published on how best to use it, like those in <a href="http://gigaom.com/collaboration/google-buzz-tips-and-tricks/">Doriano&#8217;s post</a>. But I&#8217;m feeling frustrated, not only because of the <a href="http://gigaom.com/2010/02/11/google-listens-to-critics-and-tweaks-buzz/">privacy issues</a>, which Google <a href="http://gigaom.com/2010/02/13/google-is-dancing-as-fast-as-it-can-with-buzz/">seems to be addressing</a>, but for a more basic reason:  it feels slow and not very usable.</p>
<p>I think that Google Buzz feels  slow to me because it has an interface that isn&#8217;t very mouse-friendly. It is laid out like Twitter&#8217;s web site, with one long timeline. But it also incorporates comments to the original posts in that timeline, so if a post gets lots of comments, it takes forever to scroll past it. Buzz does have  keyboard shortcuts similar to the ones in Gmail or Google Reader, but using them means  that I have to look at, and decide how to dispose of, each post individually. There doesn&#8217;t seem to be an &#8220;archive all&#8221; option similar to the &#8220;mark all as read&#8221; button in Reader.</p>
<p><a href="http://gigaom2.files.wordpress.com/2010/02/google-reader-list-mode1.png"><img  title="Google Reader list mode" src="http://gigaom2.files.wordpress.com/2010/02/google-reader-list-mode1.png?w=204&h=203" alt="" width="204" height="203" class=" alignleft" /></a>Together with a lot of web workers, I depend on being able to skim through information sources quickly. Services like Google Reader are <a href="http://gigaom.com/collaboration/tips-and-tricks-making-the-most-of-google-reader/">well-optimized</a> for doing this, especially in List mode. (To turn on List mode, from the &#8220;All Items&#8221; view, click on &#8220;Show: List&#8221; in the blue bar at the top right of the screen.)</p>
<p>The List views in Gmail and Google Reader make it easy to look at the subjects of  posts, and scroll through them quickly. Google Buzz, unfortunately, uses the threaded conversation approach of Google Wave, but without the tools for <a href="http://completewaveguide.com/guide/Master_Wave%27s_Interface">controlling what appears</a> on the screen that Wave has.</p>
<p>I hope that the limitations of Google Buzz&#8217;s interface are just growing pains. Maybe the designers of Buzz didn&#8217;t anticipate that some posts would generate hundreds of comments. So let&#8217;s hope that they&#8217;ll give us the tools to use the service efficiently, or, as one commenter suggests, Google Buzz <a href="http://alanhogan.com/buzz-is-already-dead">users might give up on it</a> before it&#8217;s a week old.</p>

Most of them aren&#8217;t that important; my colleagues kid me that I use way too many of them anyway.</p>
<p>But when I upgraded from Firefox 3.5.7 to 3.6 the other day, I discovered that a few of the add-ons that weren&#8217;t yet compatible were important to me. In fact, they had become such an integral part of my daily workflow that I was significantly slowed down without them. Luckily, almost all of the add-ons were updated within a couple of days so I&#8217;m back up to speed now, but I realized how much I missed them when they weren&#8217;t available. In this post I&#8217;m going to share the add-ons that I find it hard to be without.</p>
<p>Some of us at WWD <a href="http://gigaom.com/collaboration/firefox-3-6-released-but-im-not-switching-from-chrome/">have ditched Firefox in favor of the faster Chrome</a>, but until these add-ons are also available in Chrome for Mac, I won&#8217;t switch. In the meantime, I&#8217;m sticking with Firefox, and hoping that 3.6, the newest version, lives up to its <a href="http://gigaom.com/collaboration/browser-beta-roundup-firefox-3-6b1-chrome-4/">claims of increased speed</a>.<br />
<span id="more-26954"></span></p>
<p><a href="http://prism.mozilla.com/"><strong>Mozilla Prism</strong></a><strong>.</strong> This add-on allows me to create a <a href="http://en.wikipedia.org/wiki/Site-specific_browser">site-specific browser</a> for locations I visit frequently. I&#8217;ve used it to create a &#8220;<a href="http://www.google.com/reader/">Google Reader</a>&#8221; application that appears in my dock, can be placed in a separate <a href="http://gigaom.com/collaboration/using-spaces-to-manage-information-overload/">Space</a>, and operates separately from Firefox. I&#8217;m not sure why Mozilla hasn&#8217;t updated this yet; I&#8217;m using Chrome to view Google Reader for now.</p>
<p><a href="http://addons.mozilla.org/en-US/firefox/addon/8542"><strong>LastPass</strong></a><strong>.</strong> This password manager not only keeps track of my passwords, it syncs them between browsers and computers. I imagine most web workers have as many passwords as I do &#8212; they&#8217;d be impossible to keep track of without a program like LastPass. I also use <a href="http://agile.ws/products/1Password/"><strong>1Password</strong></a> for the Mac, and <a href="http://gigaom.com/collaboration/1password-dropbox-sync/">sync its data using Dropbox</a>, figuring that it doesn&#8217;t hurt to keep such important data in multiple places.</p>
<p><strong><a href="http://addons.mozilla.org/en-US/firefox/addon/2410">Xmarks</a>.</strong> This handy extension syncs my bookmarks between browsers and computers.</p>
<p><a href="http://addons.mozilla.org/en-US/firefox/addon/1865"><strong>Adblock Plus</strong></a><strong><strong><strong><a href="http://gigaom2.files.wordpress.com/2010/01/gmail-manager.jpg"><img  title="Gmail Manager" src="http://gigaom2.files.wordpress.com/2010/01/gmail-manager.jpg?w=238&h=271" alt="" width="238" height="271" class=" alignleft" /></a></strong></strong></strong><strong>.</strong> I appreciate all of the content that is available on the web, including WebWorkerDaily, thanks to the support of advertisers. But some sites have such obtrusive advertising that they are unusable. Google (which makes most of its money from advertising) is <a href="http://www.nytimes.com/2010/01/04/business/media/04link.html">allowing ad blockers</a> in its Chrome browser in the hope that advertisers will make &#8220;useful&#8221; ads that no one will want to block. Until then, Adblock Plus is a necessity for me.</p>
<p><a href="http://addons.mozilla.org/en-US/firefox/addon/1320"><strong>Gmail Manager</strong></a><strong>.</strong> This is the Firefox add-on that I use the most. It&#8217;s the best way I know to manage multiple Gmail and Google Apps mail accounts.</p>
<p>I&#8217;ll also add two tools that are incredibly helpful to web developers: <a href="http://addons.mozilla.org/en-US/firefox/addon/1843"><strong>Firebug</strong></a> and  <a href="http://addons.mozilla.org/en-US/firefox/addon/60"><strong>Web Developer</strong></a>. Both help me and my colleagues to test and debug web sites.</p>
<p>&#8230;and finally, <a href="http://addons.mozilla.org/en-US/firefox/addon/1562"><strong>Cards</strong></a>. Well, OK, I guess I can live without this one, but I&#8217;ll have find something else to do while I&#8217;m on the phone.</p>

<p>Although I&#8217;ve tried several feed readers, Google Reader is the only one I&#8217;ve used for more than a year. Not everyone will agree with my choice, but its simple and straightforward interface was probably the reason why I stayed with it for this long. But, despite its simplicity, there are many ways for the average reader to customize their Google Reader experience. Here are some examples:<span id="more-24678"></span></p>
<p><strong>Change Google Reader to Suit Your Aesthetics</strong></p>
<p>Though there aren&#8217;t many visual settings you can change within Google Reader itself, there are many available skins and Firefox add-ons that can do this for you.</p>
<p>One of them is <a id="tbkn" title="Better Greader" href="http://addons.mozilla.org/en-US/firefox/addon/6424">Better Greader</a> by Gina Trapani. It allows you to view pages inline, which isn&#8217;t practical for netbooks but looks great on bigger monitors. It also comes with a few minimalist skins, including the stunning <a id="yznr" title="Helvetireader" href="http://helvetireader.com/">Helvetireader</a>. If you&#8217;re familiar with CSS, you can take it a step further and modify Helvetireader yourself. For those who want a darker look, check out <a id="lztr" title="Google Redesigned" href="http://addons.mozilla.org/en-US/firefox/addon/8434">Google Redesigned</a>. It adds a sleek dark skin to Google Calendar, Reader and Gmail.<br />
<strong><br />
Use Trends to Streamline Your Subscription List</strong></p>
<p>Around once a month, I check out the &#8220;Trends&#8221; section of Google Reader. It&#8217;s an easy way to check the feeds that I don&#8217;t read often. I unsubscribe any feed with a reading rate below 50 percent, because this means that most of the time I don&#8217;t get much value out of that subscription.</p>
<p>Under the &#8220;Subscription Trends&#8221; section, you can also display the most inactive feeds, as well as the most frequently updated ones. This allows you to delete feeds from defunct blogs, or from blogs that update more often than you like.</p>
<p>Streamlining your subscriptions with data from Google Reader Trends can tell you a lot about your feed reading habits. This means that you&#8217;ll be evaluating subscriptions based on facts rather than the hope of &#8220;I&#8217;m sure someday I&#8217;ll get some interest/value out of this feed.&#8221;</p>
<p><strong>Process Your Reading List Faster by Starring</strong></p>
<p>Google Reader has a &#8220;Starred Items&#8221; feature that allows you to attach a star to important items. Instead of using this feature to have a lengthy archive of previously-read posts, you can use this it to speed up your processing time within Google Reader. Here&#8217;s how I do it:</p>
<ol>
<li> I view my new reading items under &#8220;All Items,&#8221; under &#8220;Show&#8221; I select &#8220;List&#8221; by default.</li>
<li>Looking at all the listed titles, I star every item that I want to read in full. Then, I click &#8220;Mark all as read.&#8221;</li>
<li>I go to the &#8220;Starred Items&#8221; section and read each item one by one, un-starring them as I go along.</li>
</ol>
<p>With this practice I can often finish reading my entire list in one short sitting, or I can go back and read them later when I have free time. And when I go back, I don&#8217;t have to sift through other unread items that I already processed earlier in the day.</p>
<p><strong>Add the &#8220;Subscribe as You Surf&#8221; Bookmarklet</strong>.</p>
<p>When I use the default RSS button on Firefox to subscribe, it takes me to a page where I have to choose my feed reader, then when I choose &#8220;Google&#8221; I have to select Google Reader. To avoid these multiple steps, I use a bookmarklet to make the subscription process easier. Go to Settings &gt; Goodies, and under &#8220;Subscribe as you surf&#8221; drag the &#8220;Subscribe&#8230;&#8221; link onto your Bookmarks toolbar.</p>
<p><strong>Share Items Directly from Your Reading List</strong></p>
<p>As Charlie <a href="http://gigaom.com/collaboration/google-reader-adds-easy-sharing-other-features/">noted earlier this year</a>, by going to Settings &gt; Send To, you can enable Google Reader to share selected feed items to Digg, Twitter, Facebook, Delicious, and other social media sites. After doing this you&#8217;ll be able to see a &#8220;Send To&#8221; menu at the bottom of each post (see image below). This automates sharing as much as possible, although you&#8217;ll have to log in to your social media accounts if you haven&#8217;t done so already.</p>

<p><strong>Know Your Keyboard Shortcuts</strong></p>
<p>In my experience, navigating Google Reader tends to be faster with keyboard shortcuts. At the very least, minimizing mouse movements in general prevents your hand from getting too strained. Print out this <a href="http://www.google.com/reader/ui/1525889615-en-keyboard-help-tearoff?hl=en">handy keyboard shortcut list</a> and keep it near your desk until you&#8217;ve memorized them by heart.</p>

(That&#8217;s my excuse, anyway.) As I looked at potential subjects to write about, I kept seeing cool apps, and I need to be able to test them, right?</p>
<p>But why not buy an <a href="http://www.apple.com/iphone/">iPhone</a>, or a <a href="http://www.palm.com/us/products/phones/pre/index.html">Palm Pre</a>, which <a href="http://gigaom.com/collaboration/why-i-havent-bought-a-palm-pre-yet/">I&#8217;d had my eye on</a> for several months? The Pre seems to be a good phone, but it doesn&#8217;t yet have the apps that the iPhone  does. And the monthly fees for Pre service are considerably higher than what I&#8217;m paying now. The iPhone&#8217;s monthly fees are even higher, and many folks I&#8217;ve talked to don&#8217;t find it to be a very good phone.</p>
<p>So, keeping my current phone and buying an iPod touch seemed like a good compromise. I can get good Wi-Fi coverage in most areas where I live, so I&#8217;ll be able to go online, even without the phone function.</p>
<p>Many of my WWD colleagues already have iPhones. Aliza has recently written about  <a href="http://gigaom.com/collaboration/7-handy-iphone-apps-for-your-work/">good apps for web workers</a>.  Dawn&#8217;s <a href="http://gigaom.com/collaboration/my-favorite-iphone-apps/">shared her favorites</a>, too. But with the holidays coming up, here are some of my ideas for apps to put on that brand-new iPhone or iPod touch:<span id="more-23339"></span></p>
<p><strong>Communication</strong></p>
<ul>
<li><a href="http://www.ebuddy.com/">eBuddy</a>. A multi-service instant message client for MSN/Windows Live, AIM, Yahoo, Gtalk, ICQ,  Facebook Chat and MySpace Chat. Supports multiple accounts on the same service. Versions for web, Android and other platforms also available. Free.</li>
<li><a href="http://www.facebook.com/apps/application.php?id=6628568379">Facebook</a>. A well-designed way for Facebook users to keep up with their friends while on the road. The app <a href="http://www.techcrunch.com/2009/11/21/facebook-iphone-app-broken/">has had its issues</a>, but they are apparently fixed now. Free.</li>
<li><a href="http://blog.gist.com/2009/10/13/gist-iphone-application-now-available/">Gist</a>. Scott and I have both <a href="http://webworkerdaily.com/tag/gist/">found Gist useful</a>, and the <a href="http://gigaom.com/collaboration/gist-goes-mobile-with-iphone-app/">Gist iPhone app</a> does a pretty good job of presenting a lot of information in a small space. Free.</li>
<li><a href="http://blog.linkedin.com/2009/10/23/linkedin-for-iphone-v1-5-get-your-inbox-anywhere/">LinkedIn</a>. This app keeps LinkedIn users, er, &#8220;linked in&#8221; from their iPhones and iPod touches. The latest upgrade adds some nice features, including an inbox for LinkedIn messages. Free.</li>
<li><a href="http://nimbuzz.com/en/mobile/">Nimbuzz</a>. You can use this app to <a href="http://gigaom.com/collaboration/nimbuzz-launches-nimbuzzout-calling-service/">make inexpensive international calls</a> over Wi-Fi. The app also includes a chat function, but it&#8217;s pretty rudimentary compared to eBuddy. Free app; <a href="http://nimbuzz.com/en/nimbuzzout/rates">rates for calls vary</a>.</li>
<li><a href="http://service.ringcentral.com/download/download_mobile.asp">RingCentral</a>. If you&#8217;re a <a href="http://gigaom.com/collaboration/ringcentral-office-comprehensive-internet-based-phone-services/">RingCentral user</a>, you can use this app to manage your phone messages and more. Free for RingCentral users.</li>
<li><a href="http://www.atebits.com/tweetie-iphone/">Tweetie</a>. There are lots of Twitter apps, but so far, I like Tweetie the best. It has a clean interface, and supports multiple Twitter accounts. Thanks for the tip, <a href="http://gigaom.com/collaboration/gmail-tip-twitter-gmail-gadget/">Darrell</a>! $2.99.</li>
<li><a href="http://www.getwaveboard.com/">Waveboard</a>. Mobile access to <a href="http://webworkerdaily.com/tag/google+wave/">Google Wave</a>. <a href="http://gigaom.com/collaboration/my-google-wave-wish-list-the-document-collaboration-edition/">Will hopes for better access</a> soon; I imagine that this app will become more sophisticated as Wave does. $0.99.</li>
</ul>
<p><strong>File and Idea Management</strong></p>
<ul>
<li><a href="http://www.getdropbox.com/iphoneapp">Dropbox</a>. This app<a href="http://gigaom.com/collaboration/dropbox-app-available-for-your-iphone/"> is another reason to love Dropbox</a>, which <a href="http://webworkerdaily.com/tag/dropbox/">many of us at WWD do</a>. As one would expect from Dropbox, it just works. Free.</li>
<li><a href="http://www.evernote.com/about/download/iphone/">Evernote</a>. My colleagues at WWD <a href="http://webworkerdaily.com/tag/evernote/">like Evernote, too</a>, and I&#8217;ve finally seen the light. It&#8217;s a great replacement for <a href="http://www.phatware.com/index.php?q=product/details/phatnotes">PhatNotes</a>, which I used to use with various Palm products. (The Palm versions are apparently no longer available.) Free.</li>
</ul>
<p><strong>News</strong></p>
<ul>
<li><a href="http://reeder.ch/">Reeder</a>. A very <a href="http://www.macstories.net/reviews/reeder-the-new-best-rss-reader-for-iphone/">nice and elegant</a> RSS reader that syncs with <a href="http://webworkerdaily.com/tag/google-reader/">Google Reader</a>. $0.99.</li>
</ul>
<p>Just about every news source also has its own iPhone/iPod touch app these days. So far, I&#8217;ve been impressed with the ones from <a href="http://www.npr.org/blogs/inside/2009/10/npr_news_iphone_app_upgrade_in_1.html">NPR</a> and from some news outlets that have used the  <a href="http://www.podcurry.com/">PodCurry</a> platform.</p>
<p><strong>Password Management</strong></p>
<ul>
<li><a href="http://agilewebsolutions.com/products/iphone">1Password</a>. Manage and sync passwords. I&#8217;ve been playing with the <a href="http://www.tuaw.com/2009/11/19/1password-3-0-out-of-beta/">brand-new version 3</a>, and it&#8217;s good enough that I&#8217;ve moved from <a href="http://splashdata.com/splashid/index.asp">SplashID</a> after many years. Use Dropbox with 1Password to <a href="http://gigaom.com/collaboration/1password-dropbox-sync/">make your password data available</a> on multiple machines. $7.99.</li>
<li><a href="http://lastpass.com/premium.php">LastPass</a>. Manage and sync passwords across multiple machines. The Firefox add-on for this service was included in <a href="http://gigaom.com/collaboration/the-webworkerdaily-firefox-add-ons-collection/">WWD&#8217;s Add-Ons Collection</a>. Apps for iPhones and other mobile devices available with premium membership, $12/year.</li>
</ul>
<p>I&#8217;ve barely begun finding fun stuff, but I think I&#8217;m off to a good start with the <a href="http://googlemobile.blogspot.com/2009/11/update-to-google-earth-for-iphone.html">Google Earth</a> app, and <a href="http://www.apptism.com/apps/wild-tri-peaks-lite">TriPeaks Lite</a>. I&#8217;m sure that I&#8217;ll find more, but I really need to get back to work now. Happy holidays!</p>

Yesterday, Simon wrote about some of the <a href="http://gigaom.com/collaboration/browser-beta-roundup-firefox-3-6b1-chrome-4/">latest browser betas</a>; let&#8217;s look at a few products and  services for interacting with social networks, Twitter and instant messaging.</p>
<p>I don&#8217;t generally like living on the bleeding edge, but some betas are very usable, and I&#8217;ve already incorporated them into my daily workflow. Others look promising, but are not stable or are lacking too many features right now. But all of the following are worth trying, and watching as they develop. We&#8217;ll review them more thoroughly as they mature.<span id="more-22303"></span></p>
<p><strong><a href="http://adium.im/">Adium</a></strong> is my favorite IM client for the Mac OS. Its latest beta supports all of the instant messaging protocols, and also has rudimentary support for Twitter and Facebook Chat. Unfortunately, the latter is <a href="http://adium.im/blog/2009/11/facebook-chat-change/">not working</a> as I write this, although a fix is expected shortly.</p>
<p><strong><a href="http://www.voxox.com/">VoxOx</a></strong> is an ambitious program combining IM; social networks (Facebook, MySpace and Twitter); SMS texting; faxing; private email; file sharing; video conversations; and voice connections. As <a href="http://gigaom.com/collaboration/voxox-voice-video-texting-and-instant-messaging-in-one-package/">I wrote a few days ago</a>, it is very rough around the edges now, and desperately needs improved tools for managing contacts.</p>
<p><strong><a href="http://imo.im/">Imo.im</a></strong> is a web-based multi-system instant messaging client with some intriguing features, like shared whiteboards. This service is listed as being in alpha, so we can assume that it has considerable development ahead of it.</p>
<p><strong><a href="http://brizzly.com/">Brizzly</a></strong> is a web-based service that looks a lot like Twitter&#8217;s own web interface, but with improvements. It supports multiple Twitter accounts and has recently added Facebook support. The multiple accounts aren&#8217;t as well integrated as I would like, but I assume that will come.</p>
<p><strong><a href="http://tweetminer.net/">Tweetminer</a></strong> is another web-based service that includes support for multiple Twitter accounts, tweet scheduling, and RSS feeds. Its  interface is attractive, but features are minimal at the moment. There are also Adobe AIR or Fluid-based desktop versions, for those who prefer standalone apps.</p>
<p><strong><a href="http://www.realmacsoftware.com/socialite/">Socialite</a></strong> (formerly EventBox, which Imran wrote about <a href="http://gigaom.com/collaboration/skimmer-eventbox-expecting-more-from-lifestreaming-apps/">here</a>) has just released beta 2, which <a href="http://support.realmacsoftware.com/discussions/socialite/94-facebook-status-updates-not-loading">seemingly broke support for Facebook</a> updates. When this issue is fixed, Socialite could become my favorite, as it combines support for Facebook, Facebook Pages, multiple Twitter accounts, RSS feeds and Google Reader in one attractive interface.</p>
<p><strong><a href="http://seesmic.com/">Seesmic Desktop</a></strong> is another Twitter and Facebook program which has worked well for me, but it shares with many Adobe AIR programs  some  ugly screen fonts and a propensity for using large amounts of memory.  Seesmic also has a promising <a href="http://seesmic.com/app/">web version</a>, but so far, it lacks support for multiple Twitter accounts, and for Facebook.</p>
<p><strong><a href="http://www.nambu.com/">Nambu</a></strong> only does Twitter, but does it very well, in what I think is the most attractive interface of any program of its type. I can choose three different layouts, and switch between them easily. Nambu&#8217;s development is very rapid, with a new beta released every couple of days.</p>
<p>I find the popular <strong><a href="http://www.tweetdeck.com/beta/">Tweetdeck</a></strong> to be totally unreadable and unusable, due to its AIR interface. I wish Adobe would make AIR on the Mac look as good as the native OS X fonts and windows.</p>
