1. Microsoft Office 2004

Let’s face it, Microsoft Office isn’t cheap, and Office 2008 wasn’t that great. Some features in 2004 weren’t in 2008 (though many were reintroduced in 2011), and when 2008 included the new .docx format, 2004 users didn’t want to move to a new format that could cause problems. Because of these issues, it’s not unusual to find users two versions behind. Alternatives: Office 2011, iWork, Google Docs.

2. Appleworks

Appleworks, why can’t we quit you? I’ve been a fan of Appleworks since the Apple II days. You worked equally well on Mac and PC, and included a database that’s easier to use and understand that those used by either Filemaker or Access. In fact, Apple was still selling Appleworks until 2007. Fortunately, iWork will open most files in Appleworks format and Apple has a full transition guide about moving Appleworks files over to iWork. Database users will either need to export the file to spreadsheet format or move up to Filemaker. Alternatives: iWork, Filemaker, Bento.

3. Freehand

Die-hard Freehand users refuse to use Illustrator. Freehand MX was the last version released before the purchase and discontinuation of the product by Adobe. Freehand holdouts might balk at the cost of Illustrator, or at having to relearn using new software, but it’s time to move on, or Lion won’t be able to open your files. Alternatives: Illustrator (this guide will help).

4. Eudora

Eudora was an outstanding cross-platform email program and a longtime Mac standard. It easily imported into Apple Mail, Thunderbird, or Microsoft’s Entourage, but some of us, myself included, were lazy and didn’t import old emails. Instead, if I needed an ancient email, I just opened Eudora. Now’s the time to import those emails before you run into problems with Lion. And if Eudora is still your primary email program, it’s definitely time to move onto something else. Alternatives: Penelope/Eudora Open Source, Apple Mail, Thunderbird, Outlook.

5. Quicken 2007

Although Intel Macs have been out since 2006, Quicken still hasn’t updated the program. And Quicken 2007 is still being sold, because Intuit’s new product, Quicken Essentials, is a scaled-down version of its 2007 predecessor. Essentials lacks features such as bill pay and sophisticated stock tracking. Intuit generally keeps their Mac products somewhat behind the PC versions. Intuit’s suggestions for what to do with the end of Rosetta are laughable. Fortunately, a wide variety of alternatives exist for these users, but be sure to research these carefully, and import your data into a new program before you make the move to Lion. Alternatives: iBank, Moneydance.

Yesterday, Microsoft launched its first Office app for iOS, a mobile version of the digital notebook application OneNote. If you’ve never heard of it, it may be because you’re using the Mac version of Office, which lacks OneNote, greatly reducing the usability of the iOS app.

Microsoft asserts that “78 million PCs in the U.S. have OneNote,” which, while not the same thing as having 78 million users, is still impressive. But the pool of potential overall Microsoft Office users from Mac and PC is more impressive still. Having tried OneNote, I’d suggest it may be the “practice” Office iOS app for Microsoft, before the team attempts to bring in that larger user base through Word, Excel, and PowerPoint apps. But unfortunately that “practice” feel doesn’t help the OneNote succeed as an app in and of itself.

OneNote requires an active Windows Live account to work at all. A Windows Live account allows automatic syncing between OneNote on an iOS device and Windows Live SkyDrive, which then can be synced with OneNote in Office (which, remember, is only available in the Windows version). There are no other way (like email) by which to send notes from an iOS device to a Mac or PC, so cross easy syncing off your list with OneNote.

After logging in once to Windows Live, the admittedly gorgeous OneNote Home screen appears, but looks can be deceiving. On the left, the Home screen shows a list of “notebooks,” which act as directories for your notes. Unfortunately, you can’t create notebooks in OneNote for iOS. You must use OneNote in Office, or use the OneNote web app at windowslive.com. On the left are the contents of the Day-to-Day notebook broken down into sections. Think of sections as those little colored tabs on pages you might divide a physical notebook with. You can’t create or modify these in OneNote for iOS, either.

OneNote does perform well when it comes to actually taking notes, though. While OneNote can be used in landscape mode, you won’t have much screen real estate to keep track of what you’re doing. OneNote works much better, and looks just great, in portrait mode. As seen above, OneNote has options for both bullet lists and checkbox lists, as well as integration with the iPhone camera. The camera option is especially nice, as you can take a picture and have that be the subject of its own note. Apple needs to “borrow” that feature for Notes in iOS 5.

Unfortunately, even note taking in OneNote can at times be frustrating. Wouldn’t it be great if those ring binders on the left of the note indicated a potential action, like turning a page for the next or previous note? Instead, the only way you can get to different notes is by forever going back and forth through lists.

OneNote for iOS is free, for now, but Microsoft makes no promises about the future. If you want to be help encourage Microsoft to develop Office apps for iOS, get it now. If you want a full-featured notes app that really works, there’s Evernote. It’s free, but the premium service at $45 per year significantly increases what the app can do. For Mac users with limited needs, especially those with MobileMe, Apple’s Notes remains the best basic note-taking app. As for OneNote, for now it’s little more than an extension of the Windows application, better for viewing notes than actually creating, organizing, and sharing thoughts.

Microsoft has been busy today, releasing security updates, announcing a new service pack and committing to restoring functionality to their Mac office suite.

Yep, It’s Patch Tuesday Again

Microsoft released security bulletin MS08-014 today that contains a patch to a remote code execution vulnerability effecting Microsoft Office 2004 & 2008 for Macintosh. Office 2004 is bumped up to version 11.4.1 and primarily contains security & stability fixes. Office 2008 bumps up to version 12.1.0 and includes security fixes along with a plethora of other improvements. Both updates are available via Office software update or via direct download from the aforementioned links.

Get Your Red Hot Office 2008 SP1!

Microsoft MacBU announced the availability of Office 2008 SP1 today in conjunction with the security patch. The 180MB download contains over 1,000 fixes including – what apparently was a major annoyance – the return of custom error bars and axis tick manipulation in Excel charts.

Microsoft Office Excel

• Compatibility. Improved compatibility with files exchanged between Excel 2008 for Mac and Excel 2003 and Excel 2007 for Windows
• Custom Error Bars. Restored formatting option on the Error Bars panel for data series
• Printing. More reliable printing for elements on Excel 2008 workbooks

Microsoft Entourage

• Calendar. Significant enhancements to improve calendar view and all-day reminders with reoccurrence
• Exchange Server support. Overall improvement to synchronization support, including removing attachments from Exchange Server messages and synchronizing to the server, as well as support for editing the contents of Exchange Server messages via AppleScript and synchronizing the changes to the server
• E-mail images. Ability to send and view images in Entourage from third-party tools

Microsoft Office Word

• Printing. Improved accuracy when orienting tables with cell shading
• Document map. Improved reliability and responsiveness to select items
• Notebook layout. Updated formatting, recording status and a variety of display options

Microsoft Office PowerPoint

• Printing. Improvements to eliminate crashing when printing documents to high-dpi printers and increased overall printing speed by 10 times on some large presentations
• Mobile viewing. Ability to view Mac .PPTX files on Windows Mobile phones
• AppleScript. Ability to use the PowerPoint selection object in AppleScript to implement custom scripts that operate on the current selection in PowerPoint

Restoring Functionality (& Vulnerabilities)

Microsoft’s MacBU also announced (official press release) the return of Visual Basic for Applications (VBA) support to the next major release of Office for Mac. This is a mixed bag since VBA macros are a juicy vector for vulnerabilities but that same functionality is critical to many business processes that have been developed using the suite.

From the announcement:

Sharing information with customers as early as possible continues to be a priority for the Mac BU to allow customers to plan for their software needs.2 Although the Mac BU increased support in Office 2008 with alternate scripting tools such as Automator and AppleScript — and also worked with MacTech Magazine to create a reference guide, available at http://www.mactech.com/vba-transition-guide — the team recognizes that VBA-language support is important to a select group of customers who rely on sharing macros across platforms. The Mac BU is always working to meet customers’ needs and already is hard at work on the next version of Office for Mac.
