I know the problem you are describing. I am not sure if you are describing it in MailShot or using the old manual method, but either way you can find detailed help at solubleapps.com/MailShot-exchange-support.

Briefly, Exchange trashes any long contact groups you create back to a single contact, so you need to create a local address book to store the MailShot contacts in, Once you do that you can use the MailShot contacts all over the phone just like they were built in. Full instructions are at the website.

I can never do it from my iPad or iPhone. I have been hoping for an update to fix this, but it never arrives.  This will be a good start.
